Our commitment to excellence and customer satisfaction sets us apart in the event rental industry.Job Summary:We are looking for a dependable and creative individual to join our team as a Special Events Coordinator. This position works closely with our event design team to produce and deliver memorable, creative, and unique event designs for corporate and social events. The ideal candidate will have a creative background and experience providing exceptional customer service in person as well as over the phone and via email.This position provides administrative support in office to the event design team, such as answering phone calls and emails, inputting orders into excel and rental software, processing credit card payments, following up on quotes, updating orders as requested, and confirming reservations. The Special Events Coordinator also makes creative recommendations based on event details to help elevate the event design and exceed the client’s expectations.Essential Functions:Assist in writing and producing special event proposals in Excel and contract formats.Work directly with the Events Manager to understand and support the overall objectives of the department.Work within timeline and budgets for multiple projects at a time.Provide creative feedback to clients and collaborate with design team to help realize the creative vision of the event design.Prepare detailed custom proposals as outlined by the Design Managers.Provide detailed paperwork to include accurate costing and labor.Provides additional support to decor warehouse and floral staff as needed.Assist with the updating of organizational documents, calendars, production timelines and event schedules.Drives company vehicle to/from event locations and/or market as neededAdhere to all company policies, procedures, rules and regulations in written or verbal form.Performs other duties as assigned and/or needed.Knowledge, Skills, and Abilities:Outstanding written and oral communications.Strong organizational skills.Proactive self-starter with the ability to work independently.Computer literate in MS Office, including Excel and Outlook, as well as Canva.Familiar with navigating various social media channels (Facebook, Pinterest, Instagram, etc.)Ability to read, write, interpret documents and follow detailed written instructions.Ability to calculate figures and amounts and apply concepts of basic math.Must be able to speak English clearly and write legibly. Ability to speak Spanish is a plus.Training and Experience:Two to three years related experience and/or training, or equivalent combination of education and experience.Prior experience in Event and Hospitality industry preferred.
