Project Coordinator - Commercial Construction

We are a premier, established commercial Design-Build and General Contracting firm headquartered in Jacksonville, FL, serving clients throughout the Southeastern United States. We are seeking a highly organized, proactive, and detail-oriented Project Coordinator to join our team in-office. In this role, you won’t just track paperwork—you will act as the crucial operational glue that holds our projects together from the very first bid to the final hand-off.

What We Are Looking For

• Experience: 3+ years of experience in project coordination or construction administration specifically within the commercial construction industry.

• Tech Savvy: strong proficiency with construction management software (such as Procore, Sage, or similar), MS Office (Word, Excel, Outlook), and ViewPoint.

• The "Forward-Planner" Mindset: Excellent organizational skills with the ability to anticipate project roadblocks before they happen.

• Effective Communicator: strong verbal and written communication skills; you will regularly interact with subcontractors, clients, architects, and internal field teams.

Responsibilities

The Role: From Bid to Punch Out

As our Project Coordinator, you will partner closely with Project Managers, Estimators, and Superintendents to ensure our commercial projects are delivered on time, within budget, and to our exacting standards of quality. You will own the administrative lifecycle of each project:

• Bid Coordination: Assist in organizing, distributing, and tracking bid packages, RFPs, and construction drawings to subcontractors and vendors.

• Subcontractor Database: Maintain and update our network of subcontractors and suppliers.

• Permitting & Approvals: Prepare, submit, and track local municipality and county permit applications to keep project timelines on schedule.

• Contract Management: Draft and distribute Subcontracts, PO, and Change Orders.

• Document Control: Manage the flow of critical project documents, including processing Submittals, tracking RFIs, and distributing updated architectural/engineering plans.

• Compliance & Insurance: Collect and verify subcontractor COI, lien waivers, and business licenses before work begins.

• Meeting Administration: Attend project progress meetings, take detailed minutes, and track action items to keep all parties aligned.

• Punch List Tracking: Compile, distribute, and track the completion of punch-out lists generated by the Project Manager, architect, and client.

• Final Documentation: Facilitate the collection of final lien releases, coordinate final utility turn-overs, and archive project files for final closeout.
