Onboarding Specialist

The Onboarding Specialist & Office Assistant supports a welcoming and organized employee experience while helping maintain the day-to-day operations of our McKinney office. This role is a contract to hire role. The onboarding specialist coordinates new-hire onboarding, prepares and ships company equipment, maintains onboarding schedules, provides basic technology support, processes incoming mail, and assists with company events and engagement. The ideal candidate is organized, service-oriented, comfortable working across multiple technology platforms, and experienced in a professional office environment. Key Responsibilities Onboarding Support Coordinate onboarding schedules and activities for new employees. Collaborate with hiring managers, HR, IT, and other internal teams to ensure new hires are prepared for their first day. Schedule onboarding meetings, orientation sessions, and required training. Track onboarding tasks and follow up with stakeholders to ensure timely completion. Prepare, package, and ship laptops and other company equipment to new employees. Maintain accurate records of equipment shipments, tracking information, and receipt confirmations. Support new hires with basic system access and troubleshooting across multiple platforms. Escalate technical or access-related issues to the appropriate team when necessary. Help create a professional, organized, and welcoming onboarding experience. Office Administration Provide general administrative support to the HR Manager and office. Receive, sort, scan, and route incoming mail to the appropriate individuals or departments. Maintain organized electronic and physical files in accordance with company practices. Use Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams, to complete daily responsibilities. Assist with scheduling meetings, maintaining calendars, and preparing documents or materials. Monitor office supplies and coordinate replenishment as needed. Help maintain a professional, organized, and welcoming office environment. Events and Employee Experience Assist with planning and coordinating company meetings, employee activities, and office events. Coordinate event logistics, including schedules, supplies, communications, catering, and room setup. Partner with HR and business leaders on employee engagement initiatives. Provide onsite support before, during, and after company events. Qualifications Prior experience working in a professional office, administrative, HR, onboarding, or customer-service environment. Strong organizational skills and attention to detail. Ability to manage multiple priorities, deadlines, and onboarding schedules. Comfortable learning, navigating, and troubleshooting across multiple technology platforms. Proficiency with Microsoft Office products, particularly Outlook, Word, Excel, PowerPoint, and Teams. Strong written and verbal communication skills. Ability to collaborate effectively with employees, managers, and cross-functional teams. Demonstrated professionalism and discretion when handling employee, company, and mail-related information. Ability to work independently while knowing when to elevate questions or problems. Ability to safely package, lift, and ship laptops and other office equipment, with or without reasonable accommodation. Preferred Qualifications Experience supporting employee onboarding or other HR-related processes. Experience coordinating equipment shipments and maintaining tracking records. Experience assisting with corporate meetings or employee events. Familiarity with HR, ticketing, shipping, or project-management systems. This is a hybrid position based in McKinney, Texas, requiring three days per week in the office.
