Incumbent serves in a Part-Time position for the Morgan County Surveyor’s Office, responsible for assigned records-scanning and digitization projects, routine telephone and front-counter coverage, clerical assistance, and office-move preparation. This position can be up to 28 hours/week. 

DUTIES:

Scans plat books and other assigned public records to a designated electronic drive using established procedures. 

Handles original plats, books, maps, surveys, and other public records carefully and returns materials to their assigned locations.

Answers telephones, takes notes, transfer calls, makes return calls.

Greets and assists visitors at the front counter.

Performs general clerical support, including filing, labeling, indexing, photocopying, printing large-format documents, data entry, preparing outgoing mail, checking mail, proofreading, and organizing assigned supplies and records.

Assists with preparations for relocation of the Surveyor’s Office, including inventorying, labeling, boxing, and organizing materials according to instructions.

May occasionally accompany department staff for field observation.

Performs related duties as assigned

Job Requirements and Difficulty of Work:

High school diploma or GED is required. Previous office, records, scanning, mapping, or customer-service experience is preferred but not required

Working knowledge of standard office practices, English grammar, spelling, punctuation, and basic mathematics.

Ability to learn and consistently follow detailed scanning, indexing, file-naming, and records-handling procedures.

Ability to use a computer and operate scanners, printers, copiers, telephones, and related office equipment.

Ability to learn basic terminology relating to plats, surveys, deeds, legal descriptions, section corners, regulated drains, stormwater, parcels, and other Surveyor’s Office records.

Ability to communicate courteously and professionally with co-workers, other County departments, contractors, and members of the public, including individuals who may be upset or concerned.

Ability to understand, retain, follow, and carry out written and oral instructions; organize work; manage several assigned tasks; and meet established project expectations.

Ability to comply with all employer and department policies and work rules, including attendance, safety, drug-free workplace, confidentiality, technology use, and personal conduct.

Ability to work cooperatively in a small-office environment and accept instruction, correction, and cross-training.

Possession of a valid Indiana driver’s license and a demonstrated safe driving record.

Responsibility:

Incumbent receives day-to-day supervision, assignments, procedures, and training. Work is performed according to established instructions and is reviewed for accuracy, completeness, proper records handling, and customer service. Incumbent uses judgment to identify errors, protect original records, and determine when a question or decision must be referred to supervisory or technical staff.

Incumbent maintains frequent communication with co-workers, other County departments, and members of the public for purposes of receiving assignments, coordinating records and office work, assisting customers, and requesting, providing, or verifying routine information.

Incumbent reports to the Surveyor or Chief Deputy.

Incumbent performs duties involving sitting and standing for extended periods, frequent use of hands and fingers, viewing computer screens and detailed records, reaching, bending, stooping, walking, and lifting or carrying plat books, files, supplies, and boxes generally weighing up to 50 pounds. Occasional field assignments may involve walking on uneven terrain and entering or exiting a vehicle.
