SUMMARY:

This person is responsible for supporting the sales team and customer accounts by reviewing and processing customer orders, executing the procurement of goods and services, and ensure customers and sales representatives are informed of order status. The CSR/PA will act as a liaison between multiple departments to meet customer and operational needs.

DUTIES AND RESPONSIBILITIES:

• Review and process customer orders.
• Make daily purchases for customer orders and internal stock.
• Verify purchase requisitions against inventory and customer requirements.
• Obtain purchased items by placing and expediting supplier orders.
• Ensure accurate and timely receipt of goods; resolve shipment discrepancies.
• Obtain export compliance and end user documentation and coordinate with the Export Compliance Officer for shipment approval.
• Coordinate with sales, shipping, and compliance teams to ensure customer satisfaction.
• Communicate directly with customers to confirm orders, update on shipping status, and gather payment or contact information.
• Build and maintain strong relationships with both vendors and customers.
• Assist sales team with quoting and follow-ups on open orders.
• Provide purchasing and account activity reporting as needed.
• Follow communication procedures, guidelines, and company policies.
• Maintain organized documentation for all transactions and communications.

SUPERVISORY RESPONSIBILITIES:

• This job has no supervisory responsibilities.

QUALIFICATIONS:

• 2–3 years of experience in purchasing or account management (aviation industry preferred).
• Proficient in Microsoft Word and Excel.
• Excellent verbal and written communication skills.
• Strong multitasking, prioritization, and time management abilities.
• High attention to detail and problem-solving skills.
• Efficient computer skills.

EUDCATION:

• High School Diploma required.

PHYSICAL DEMANDS:

• Primarily a sedentary role requiring extended periods of sitting.
