Program Business Manager - School of Medicine Anesthesiology

JOB DESCRIPTION

Coordinate requests for Risk Management information via Emory Claims via verification/credentialing vendors. Maintain current, incoming, and alumni files for all programs (hard copies/electronic). Supervise two reports and conduct Annual Performance Reviews for both. Member of AAPAE (The Association of Anesthesiology Program Administrators and Educators / SAAAPM). Provide input into departmental objectives, especially those pertaining to the residency program. Establish and administer departmental policies and procedures pertaining to teaching requirements, course objectives, and course content in compliance with applicable regulations. Collect and analyze data to advise management of long‑range needs. Develop communications materials/methodologies such as newsletter articles, memos, videos, workshops, brochures, and focus groups.

PROGRAMS AND ACTIVITIES

Pain Medicine – ACGME Accredited Program RAAPM/Neuroanesthesia/Anesthesia Liver Transplant – Non‑ACGME Programs Coordinate and direct departmental activities which may include the department’s residency program, the transitional year program, and/or other programs. Plan and develop courses for medical students, manage the course budget, negotiate with outside agencies for funding and support, and administer courses throughout the academic year. Arrange, administer, and proctor certifying and sub‑specialty exams. Coordinate Annual Program Evaluation (APE) and Self‑Study documentation. Maintain updates in the ACGME ADS system. Facilitate faculty and fellow roster updates and block diagram revisions annually. Submit annual ADS report and prepare accreditation documentation. Coordinate ACGME milestones and maintain Program Evaluation Committee (PEC) and Clinical Competency Committee minutes. Proctor ABA In‑Training Exam and coordinate the SOM Computer Lab, IT Technician, and building access. Track duty‑hours compliance via GME office/New Innovations and coordinate program evaluation via GME. Coordinate SAFER videos to program fellows/faculty via GME and attend workshops/meetings as requested. Coordinate didactics calendar for Pain faculty, moderators, CHOA Pain faculty, and residents on services. Coordinate Zoom links, outside models for Ultrasound workshops, and cadaver transport for training. Develop, administer, and monitor intern, resident, and operating budgets, including reconciliation of invoices. Maintain balance sheets for fellows from education funds and manage reimbursement processes from university pain funds. Deploy QGenda schedules for fellows and residents and coordinate call schedules. Assist with onboarding via GME hospital sites, verify credentialing, track board results, coordinate access to hospital sites, and manage alumni files for Pain/RAAPM/Neuroanesthesia/Anesthesia Liver Transplant. Support VR onboarding for VA computer access and coordinate orientation for incoming fellows. Conduct recruitment: interview applicants, review ERAS and SF Match applications, set up interviews, and input match lists for both accredited and non‑accredited programs. Coordinate graduation: certificate requests, graduation dinner, non‑ACGME certificates, and certificate jackets for residents and graduates.

MINIMUM QUALIFICATIONS

Earned a bachelor's degree in business administration or a related field and possess five (5) years of professional business administration or management experience, or an equivalent combination of related experience.
