We are seeking an organized and dependable Scheduling Coordinator to support the daily scheduling needs of our clients and caregivers. This role is an important part of our office team and helps ensure clients receive consistent care while caregivers are matched appropriately based on availability, skills, and client needs.

Position Overview
The Scheduling Coordinator is responsible for creating, maintaining, and adjusting client and caregiver schedules. This position requires a positive attitude, strong communication, attention to detail, problem-solving skills, and the ability to remain calm in a fast-paced environment.

The ideal candidate is someone who enjoys working with people, can manage changing priorities, and understands the importance of reliable scheduling in home care.

Key Responsibilities

• Create and maintain caregiver schedules based on client needs and caregiver availability.
• Match caregivers with clients using availability, location, skills, preferences, and continuity of care.
• Fill open shifts and respond to daily schedule changes, call-offs, and staffing needs.
• Communicate schedule updates clearly with caregivers, clients, families, and office staff.
• Maintain accurate scheduling information in the scheduling platform.
• Build professional relationships with clients and caregivers.
• Support scheduling consistency for both clients and caregivers whenever possible.
• Monitor caregiver availability and communicate hiring needs to the recruiting team.
• Report caregiver concerns to HR and clinical or client concerns to the appropriate nursing or management team.
• Maintain confidentiality and respect client and caregiver privacy.
• Document scheduling updates, changes, and communication accurately.
• Assist with problem-solving to support smooth daily operations.
• Be willing to assist with shift coverage if needed.
• On-Call Rotation (separate $500 incentive pay each rotation)

Schedule:
This is a full-time, in-office position Monday through Friday, 9:00 AM–5:00 PM

Training Schedule:
9am-5pm 3-5 days at our Bonita Springs location. Mileage will be reimbursed at the federal rate.

On-Call Rotation:
This position requires participation in the after-hours on-call rotation approximately every 3 weeks. Each on-call rotation runs for one full week, Monday to Monday. On-call rotation incentive pay is $500 per rotation , with holiday differential pay when applicable. The on-call rotation supports after-hours scheduling needs, caregiver call-offs, client or family communication, and urgent staffing concerns until the office reopens.

Qualifications

• Previous scheduling experience required, preferably in home care, healthcare, or a related field.
• Strong organizational and time-management skills.
• Excellent verbal and written communication skills.
• Ability to read, write, speak, and understand English.
• Strong attention to detail and documentation accuracy.
• Ability to manage stressful situations and changing priorities professionally.
• Comfortable working in a fast-paced office environment.
• Ability to work independently and as part of a team.
• Experience with WellSky/ClearCare or similar scheduling software preferred.
• Professional, dependable, and solution-focused attitude.

Position Requirements

• Valid driver’s license and ability to commute to Venice, Florida.
• Second form of ID, such as Social Security card or passport.
• Auto insurance with expiration dates visible.
• Level 2 AHCA background screening for the State of Florida, or willingness to complete.
