Academic Affairs Administrator, Pardee School of Global Studies

Frederick S. Pardee School of Global Studies – Boston University

The Academic Affairs Administrator works closely with the Associate Dean for Academic Affairs and the Senior Manager of Faculty Affairs, as well as with the School's Executive Director of Finance and Administration and the Student Services team to provide administrative and operational support for the Academic Affairs Office at the Pardee School of Global Studies. This position plays a central role in supporting the school's curriculum management, academic policy administration, and academic operations. The Academic Affairs Administrator also supports reporting and strategic planning related to course offerings, instructional resources, and academic operations. Courses, Curriculum, and HUB Management Work with the Associate Dean for Academic Affairs to track and manage course submissions, approvals, and revisions through the appropriate university systems.

Responsibilities:

• Maintain oversight of the school's course inventory across relevant university databases and the course catalog; conduct periodic reviews and report findings to the Associate Dean.
• Maintain and manage the school's database of course syllabi and curriculum documentation. Coordinate course scheduling and provide administrative support for curriculum planning processes.
• Develop expertise in Boston University HUB policies and provide guidance to the Associate Dean and Pardee faculty on HUB requirements, course approvals, and revisions.
• Coordinate BU's participation in the annual review of HUB courses, working with faculty to see that required materials are submitted for review.
• Support faculty in preparing HUB course proposals and revisions and assist in ensuring compliance with HUB policies.
• Monitor course enrollments to ensure compliance with school and university enrollment expectations.
• Work closely with Pardee Student Services to coordinate course-related processes including waitlists, prerequisite requirements, and enrollment monitoring. 
• Maintain responsibility for cyclical semester academic processes including course evaluations, midterm progress reporting, final exam coordination, and grade submission timelines.
• Maintain course evaluation records and prepare data when needed for faculty review, promotion, or tenure processes.
• Attend Pardee School Academic Affairs Committee meetings and assist in preparing course and program materials for review.
• Academic Policy, Governance, and Process Management Maintain and update the Pardee School's academic policies in coordination with the Associate Dean for Academic Affairs, ensuring alignment with Boston University policies and academic regulations.
• Develop and maintain documentation of Academic Affairs workflows, including curriculum approvals, HUB proposals, course administration, and related academic processes.
• Assist in creating internal guidance materials to help faculty and staff navigate academic policies and procedures.
• Support the preparation of Academic Affairs Committee agendas, materials, and documentation. 
• Assist the Associate Dean with special projects related to curriculum development, academic policy, and academic administration initiatives.

• Academic Operations, Reporting, and Strategic Support 
• Develop and maintain reports for school leadership, including the Dean and Executive Director of Finance and Administration, on course offerings, enrollment patterns, and HUB course distribution.
• Identify trends, challenges, and opportunities related to curriculum planning, course demand, and instructional needs.
• Support leadership in projecting future course needs and identifying areas where curriculum adjustments or new course development may be required.
• Provide data and insights to support academic planning and strategic decision-making.

• Teaching Fellows and Grader Coordination 
• Work closely with the Associate Dean for Academic Affairs and the Executive Director of Finance and Administration to coordinate the Teaching Fellow (TF), Teaching Assistant (TA), and grader processes.
• Identify courses requiring teaching support based on enrollment and instructional needs. 
• Support the recruitment and selection process for TFs, TAs, and Graders in coordination with the Associate Dean.
• In coordination with faculty and the Associate Dean, assign TFs, TAs, and teaching associates to discussion sections.
• Work with the Executive Director and the Pardee Business Office to ensure budget approval for Teaching Fellow and grader appointments prior to hiring. 
• Monitor course enrollment and instructional needs to identify courses requiring graders and coordinate administrative processing once students are identified.
• Develop clear workflows and documentation for TF and grader management to support consistency and operational efficiency. 

• Faculty Academic Resource Development
• Develop and maintain a centralized faculty academic resources page within the school's website.
• Organize and publish key information for faculty related to academic policies, curriculum processes, and operational procedures.
• Ensure the resource page includes guidance on processes such as introducing new courses, HUB approvals, and curriculum procedures.
• Provide practical information on day-to-day administrative operations, including basic school processes and procedures.
• Support faculty onboarding by ensuring that key academic and operational resources are easily accessible.

Required Skills

• Bachelor's degree required; master's degree preferred.
• 3–5 years of relevant experience in academic administration or higher education.
• Strong organizational, analytical, and problem-solving skills.
• Advanced knowledge of Excel and data management.
• Experience with curriculum administration, academic policy, or academic affairs operations preferred.
• Ability to work collaboratively across administrative units and support faculty and leadership needs.
