Purchasing Clerk

Job Summary Under direction of the Director of Purchasing, the Purchasing Clerk supports all activities of the Purchasing Department. The Purchasing Clerk will have an active role in ordering and delivering products and assisting with inventory counts. The position requires consistent provision of professional, attentive, and friendly service, promoting the club's Signature Service standards, and ensuring satisfaction of members and guests. Responsibilities Handle receiving of deliveries and ensure goods received are in compliance with purchase orders, including items, quality, quantity, price, and specifications. Operate a company vehicle to deliver goods as required. Maintain records of all partial deliveries and backorders, and record short‑shipped items for credit advice. Obtain checks from accounting regarding C.O.D.’s and notify accounting staff of unusual circumstances. Maintain records of all receipts, issues and transfers. Conduct periodic inventory counts of all areas to reconcile and verify with records. Keep storeroom areas clean, organized, secure, and safe. Issue items requested from various departments in accordance with predetermined timetables. Ensure all documentation for goods received, issued and transferred is accurate, complete, and promptly passed to accounting. Provide status information on goods requested to department heads and managers. Strive to improve product quality while minimizing costs in all areas. Other duties may be assigned. Qualifications One‑year certificate from college or technical school, or 3‑6 months related experience and/or training, or equivalent combination of education and experience. Valid California driver’s license and ability to operate a company vehicle. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively in English to customers, vendors, or employees. Mathematical skills: ability to calculate figures, percentages, and volume; apply basic algebra and geometry. Reasoning ability: apply common sense understanding to carry out instructions and solve problems with multiple variables. Physical demands: stand, walk, sit, use hands and arms, lift up to 50 pounds.
