Accounting Associate

Hurricane Island Outward Bound is seeking a detail-oriented and organized Accounting Associate to support our financial operations and help ensure things run smoothly behind the scenes. The Accounting Associate will support our daily financial operations, manage the end-to-end payroll cycle, and assist with essential human resources administration. This position manages key transactional workflows spanning accounts payable, cash management, and staff onboarding/offboarding logistics. Operating in a hybrid capacity out of our Camden, Maine office, the ideal candidate brings at least four years of accounting experience and is a highly organized professional comfortable working across integrated software platforms to ensure internal compliance and clean financial data. KEY RESPONSIBILITIES Payroll Administration & Human Resources Support Expense & Compliance Tracking: Monitor organizational credit card expenses, verify adherence to internal spending policies, and maintain comprehensive itemized backup documentation. Payroll Operations: Execute full-cycle payroll preparation, review timesheets for accuracy, manage distribution, and handle quarterly tax reporting reconciliations. Employee Lifecycle Management: Manage the administrative onboarding and offboarding processes for a high volume of seasonal staff, ensuring accurate setup, adjustments, and closeouts in our internal systems. Benefits & Compliance: Administer staff benefits programs for full-time employees, maintain secure personnel records, and review compliance and change reports to verify data integrity. Act as the main point of contact for employees with payroll and benefit inquiries. Accounts Payable Accounts Payable & Disbursements: Oversee bill processing and payment execution, ensure correct expense coding, and maintain vendor profiles. Expense & Compliance Tracking: Monitor organizational credit card expenses, verify adherence to internal spending policies, and maintain comprehensive itemized backup documentation. KNOWLEDGE AND SKILLS Software Knowledge: High familiarity or direct experience with Paylocity for payroll and HR management, familiarity with QBO, Accounting Seed, or other accounting software, and proficiency in Microsoft Office Suite (Word, Excel, Outlook). CRM & Database Knowledge: Experience navigating and generating data reports from Salesforce. Language Skills: Spanish fluency is a strong plus to support international operational workflows and communications. Core Competencies: Excellent organizational skills, exceptional attention to detail and accuracy, strict attention to confidentiality, strong cross-departmental communication skills, and the ability to manage multiple priorities while working independently and collaboratively. EDUCATION AND WORK EXPERIENCE Minimum of four (4) years of professional experience in accounting, bookkeeping, payroll, or benefits administration. Bachelor's degree preferred. Experience using Salesforce. Experience using QBO, Accounting Seed, or other accounting software a plus. Located primarily in our Camden, Maine office (with some hybrid flexibility), this is a full-time position of 40 hours/week with excellent benefits. Salary range is $60,000-$65,000 annually; placement within the range will be based on experience, skills, and relevant qualifications.
