experienced Project Coordinator

to join our commercial team. This is

not an entry-level position

. We are looking for someone who already knows how to manage deadlines, documentation, multiple active projects, and communication among customers, contractors, vendors, and internal teams. Experience with a

commercial contractor, subcontractor, construction company, estimating department, architectural products company, or specialty contractor is strongly preferred. You don't need to know garage doors—we will teach you that. What we do need is someone who is

highly organized, accurate, dependable, comfortable taking ownership, and proactive about following up when information is missing or deadlines are approaching. Compensation & Benefits

What You'll Do

You will help coordinate commercial projects from the bidding stage through project completion. Your responsibilities will include: · Coordinate and maintain commercial project documentation, contracts, submittals, closeouts, COIs, safety documents, O&M manuals, warranties, and related records. · Review new bid opportunities and route projects to the appropriate estimator or manager. · Prepare bid lists and assist with bid bonds, contractor prequalification’s, and compliance requirements. · Track active projects, schedules, deadlines, missing information, and outstanding documentation. · Follow up with customers, contractors, vendors, estimators, and project managers to keep projects moving. · Maintain accurate electronic project files and project information in Total Service and other company systems. · Prepare monthly project statistics and maintain departmental tracking and follow-up reports. · Coordinate documentation required for billing, including stored-material requirements. · Assist estimators and project managers with project coordination and Commercial Service requests. · Communicate potential problems, missing information, and approaching deadlines

before they become problems

. · Provide additional project and estimating support as needed. What We're Looking For

Required: · 3+ years of project coordination, construction-office, estimating-support, contractor compliance, or similar relevant experience. · Strong organizational skills with demonstrated ability to manage multiple projects and deadlines simultaneously. · Excellent attention to detail and follow-through. · Strong written and verbal communication skills. · Ability to work independently, prioritize work, and recognize when something requires follow-up or escalation. · Proficiency with Microsoft Office and Google Workspace and the ability to learn new business software. · Valid driver's license and ability to occasionally travel to job sites or meetings. · Comfort using technology, including company-approved AI tools, to improve research, document preparation, and administrative efficiency. Especially valuable: · Commercial construction or subcontractor experience. · Experience working with general contractors, architects, project managers, or estimators. · Familiarity with contracts, specifications, architectural drawings, submittals, O&M documentation, bid platforms, or contractor compliance portals. Schedule

Monday–Friday, 8:00 a.m.–5:00 p.m. Additional hours or overtime may occasionally be required to meet bid deadlines, project needs, or business demands. About Hamburg Overhead Door
