Software Procurement Specialist

The Software Procurement Specialist supports the intake and tracking of software requests and fosters collaboration between Information Communication Services (ICS) and the Church Education System (CES), the parent organizations responsible for reviewing and processing BYU-Pathway Worldwide (BPW) software requests. The role helps project managers maintain visibility into active requests, determine whether requests should be routed through ICS or CES vendor management, and ensure requests progress through the appropriate review, approval, and communication channels. The specialist serves as a coordination point between requestors, project managers, vendor management, IT purchasing, privacy, security, legal, AI review, and other stakeholders as needed.

This position reports to the Director of Technology Operations and will collaborate closely with the Project Manager, ICS, and CES.

Important: This part-time position typically works (Monday Friday between the hours of 8 am - 5 pm). This position is an on-site position.

Responsibilities:

• Receive, organize, and track software requests from BYU-Pathway employees, departments, and supporting teams.
• Maintain an accurate request tracker, including request details, assigned owners, priorities, status, key dates, and outcomes.
• Help determine appropriate routing through ICS vendor management, CES IT purchasing, or other review groups and stakeholder combinations.

Coordination & Communication:

• Coordinate with requestors and stakeholders to gather information, clarify business needs, and provide status updates.
• Serve as a communication point between requestors, project managers, vendor management, purchasing, privacy, security, legal, AI review, and other stakeholders.
• Prepare meeting agendas, request summaries, status reports, and follow-up documentation.

Governance & Request Progression:

• Monitor requests through applicable review, approval, and procurement processes.
• Track action items, owners, blockers, and due dates to help ensure timely resolution.
• Support governance efforts that promote responsible technology adoption, frugal purchasing, and compliance with organizational standards and policies.

Process Improvement:

• Identify process gaps and recommend improvements to standardize software request intake, triage, routing, tracking, and reporting.

Qualifications:

Skills:

1. Organization: Track multiple requests, priorities, owners, and deadlines simultaneously.
2. Communication: Communicate clearly with requestors, project managers, and stakeholder groups.
3. Documentation: Record high-level business requirements, decisions, issues, and action items in a clear and concise format.
4. Technology Tools: Proficiency in Microsoft 365, spreadsheets, forms, and project management tools such as Wrike.
5. Process Management: Follow established workflows and help improve developing processes.
6. Professional Judgment: Exercise discretion when handling sensitive business, contract, privacy, and security information.
7. Collaboration: Build productive relationships across technical and non-technical teams.

Knowledge:

1. Project Coordination: Understanding of request tracking, prioritization, and project support practices.
2. Technology Governance: Familiarity with software review, approval, procurement, and governance processes.
3. Risk & Compliance: Basic knowledge of privacy, security, legal, and compliance considerations related to technology adoption.
4. Stakeholder Management: Understanding of cross-functional collaboration and communication practices.

Experience:

Required:

1. Administrative Support: Experience organizing, tracking, or coordinating multiple tasks, projects, requests, or deadlines.
2. Reporting & Documentation: Experience maintaining trackers, spreadsheets, reports, or status updates.
3. Team Collaboration: Experience working effectively in a collaborative team environment.

Nice to have:

1. IT Operations: Experience supporting project management, vendor management, software procurement, IT governance, or business operations.
2. Process Administration: Experience creating or maintaining intake forms, dashboards, trackers, or reporting solutions.
3. Wrike: Experience using Wrike or similar project management platforms.
4. Technology Requests: Experience supporting technology request, review, approval, or procurement processes.
