Reports To: VP of Pharmacy Operations
Position Summary
The Training Manager is responsible for developing, implementing, and continuously improving the company's training and competency program for all pharmacy personnel. This position ensures employees receive consistent, effective, and compliant training that supports patient safety, operational excellence, and regulatory compliance.
The Training Manager partners with Pharmacy Operations, Quality Assurance, Human Resources, Compliance, and department leaders to create a culture of continuous learning while maintaining complete training documentation and competency records.
Essential Responsibilities
Training Program Management
Develop, implement, maintain, and continuously improve a comprehensive, role-based training and competency program.
Design structured onboarding and qualification pathways for pharmacy technicians, pharmacists, customer service, laboratory personnel, shipping, facilities, and administrative staff, as applicable.
Develop annual training plans and calendars aligned with operational priorities, compliance obligations, recurring qualifications, and continuing education needs.
Define learning objectives, prerequisites, delivery methods, qualification criteria, retraining triggers, and required documentation for each curriculum.
Establish and report program metrics, including on-time completion, overdue assignments, time to qualification, first-pass competency, retraining frequency, and training-effectiveness trends.
Regulatory & Compliance Training
Develop and maintain training that supports applicable USP <795> , USP <797> , and USP <800> requirements; federal requirements and FDA guidance applicable to section 503A pharmacy compounding; state board of pharmacy requirements; HIPAA; OSHA; controlled-substance handling; and the company’s Quality Management System.
Partner with Quality Assurance, Compliance, and designated subject-matter experts to confirm the accuracy and approval of controlled training content before release.
Ensure mandatory assignments, qualifications, and renewals are completed, documented, and escalated according to established timelines.
Coordinate training and documented effectiveness checks following SOP revisions, deviations, CAPAs, audit findings, complaints, process changes, or regulatory updates.
Competency Program
Develop, coordinate, and administer knowledge assessments, practical demonstrations, observation checklists, and initial and recurring competency evaluations.
Maintain qualification programs, as applicable, for sterile and nonsterile compounding, aseptic technique, garbing, cleaning and disinfecting, equipment operation, visual inspection, and environmental monitoring procedures.
Qualify and calibrate trainers, preceptors, and competency evaluators to promote consistent instruction and scoring across departments and shifts.
Partner with managers to identify skill gaps and establish documented remediation, retraining, and individualized development plans.
Verify that employees complete required training and demonstrate competency before performing assigned work independently.
SOP Training
Perform training impact assessments for new or revised SOPs, equipment, systems, and processes in partnership with document owners and Quality.
Coordinate training assignments and acknowledgments before approved effective dates and independent work.
Create and standardize facilitator guides, training manuals, standard work, job aids, presentations, videos, e-learning modules, knowledge assessments, and practical skills checklists.
Apply version control and approved-content practices so learning materials remain aligned with current procedures.
Use adult-learning and instructional-design principles to support employees with varied roles, experience levels, language needs, and learning styles.
Learning Systems, Documentation, and Audit Support
Administer the learning management system or electronic training platform, including curricula, assignments, due dates, user roles, qualifications, reports, and archival practices.
Maintain accurate, complete, attributable, contemporaneous, and readily retrievable training and qualification records.
Monitor due dates, expirations, exceptions, and overdue items; provide routine compliance reports and escalate risks to appropriate leaders.
Support internal audits, external inspections, and responses involving training records, qualification evidence, and program effectiveness.
Continuous Improvement and Collaboration
Analyze deviations, errors, complaints, audit observations, productivity data, and performance trends to identify training needs and potential human-performance improvements.
Evaluate learning effectiveness using assessments, observation, employee feedback, performance outcomes, and recurrence data; revise programs when results do not meet expectations.
Serve as an internal resource for instructional design, coaching, employee development, and competency assessment.
Support change-management efforts during implementation of new processes, equipment, products, systems, or technologies.
Perform other related duties consistent with the role and business needs.
Required Qualifications
At least five years of experience in healthcare, pharmacy operations, pharmaceutical manufacturing, medical devices, or another regulated environment.
At least three years of experience designing, delivering, coordinating, or managing employee training or competency programs.
Demonstrated experience creating structured curricula, assessments, practical qualification tools, and training documentation.
$65 - $85 per hour
