Type: Full-time (40 hours/week) will be able to work from home part of the week.

Salary: $60,000 base + commission potential

Reports to: General Manager

Position Summary

We are hiring an organized, proactive Office Coordinator to support our growing VA accessibility contracting business. This role will offload administrative and coordination tasks from the General Manager, allowing him to focus on high-level operations and business development. You will be the central point of contact for scheduling, customer inquiries, VA coordination, new VA outreach, and inventory — keeping things running smoothly without being involved in field installations.

Key Responsibilities

• Scheduling & Calendar Management (approx. 12 hrs/week)

• Manage the company Outlook calendar for installations, site visits, and meetings.

• Handle last-minute changes, rescheduling, and coordination with field teams and customers.

• Phone & Customer Support (approx. 8 hrs/week)

• Answer the main office line and manage incoming inquiries.

• Triage problems, provide excellent customer service, and delegate technical/install issues to the appropriate team members.

• VA Outreach & Coordination (approx. 8 hrs/week)

• Support quarterly outreach and relationship-building with VA facilities

• Assist with proposals, follow-ups, and scheduling meetings.

• Inventory Management (approx. 4 hrs/week)

• Track materials, parts, and equipment.

• Coordinate deliveries and maintain accurate records.

• Additional Duties (as needed)

• Support general office administration and special projects.

Qualifications

• 2+ years of administrative, office coordination, or customer service experience (preferred).

• Strong proficiency with Outlook Calendar, Microsoft Office, and basic CRM tools.

• Excellent phone etiquette and written communication skills.

• Highly organized with the ability to juggle multiple priorities and last-minute changes.

• Experience working with veterans or government clients is a plus.

Compensation & Benefits

• Base Salary: $60,000 per year

• Commission Opportunity: Performance-based incentives tied to VA outreach success.

• 14 days of paid time off and 401k matching.

• Hybrid flexibility / ability to work from home once established (office time required for inventory and VA outreach meetings).
