Counter Clerk - Civil

Location: 321 Robert S Kerr Rm 409, Oklahoma City, OK 73102 Supervisor: Supervising Deputy - Civil Phone: Fax: Description The Counter Clerk acts as the frontline representative for civil court records and small claims matters. This individual receives and processes filings, and resolves inquiries from the public, attorneys, law enforcement, and other stakeholders. Individuals in this role are responsible for ensuring accurate, timely, and courteous service in accordance with state statutes, court rules, and internal policies. All positions are required to cross‑train in different departments and rotate work assignment stations when necessary. Responsibilities Greet and assist walk‑in customers at the service counter, including defendants, attorneys, law enforcement officers, and the general public. Provide clear instructions to customers on filing procedures, required forms, court dates, and fee schedules. Answer telephone and email inquiries regarding case status, court dates, fine amounts, and payment options. Accept and file incoming documents (e.g., petitions, motions, returns, affidavits) in paper formats. Review submissions for completeness, accuracy (case numbers, party information), and appropriate signatures. Assign docket entries, stamp, scan, and upload documents into the Court’s data management system (OCIS). Maintain current knowledge of changes to statutes, court rules, and fee schedules. Verify accuracy of docket entries, update case status changes to assure data integrity. Ensure confidentiality procedures are followed for sealed records and protected personal information. Participate in cross‑training activities to assure and assist with continuity of business. Adhere to time‑keeping standards, and record time accurately daily. Experience Strong interpersonal and communication skills, both verbal and written. Proficiency with standard office software and willingness to learn and become proficient in court data systems. Capacity to multitask in a fast‑paced, high‑volume environment and maintain calm under pressure. Ability to learn and comprehend related Oklahoma statutes, court rules, and administrative directives. Familiarity with civil proceedings terminology, docketing procedures, and status flags. Meticulous attention to detail and accuracy in a highly regulated environment with low error margin. Handle sensitive personal and financial data in compliance with state statute and privacy laws. Education Required Minimum of 1 year of customer service experience; preferably in a high‑volume, transactional environment. High school diploma or GED required, associate degree in criminal justice, public administration, or related field preferred.
