Target Salary: $105,000-$125,000, depending on experience

The Opportunity\n

ACDI is looking for an exceptional event professional to take ownership of the planning and execution of our Board of Directors and Shareholder Meetings.

\n

Our meetings are an important part of the ACDI experience. They bring together business owners and senior leaders from across North America for several days of meetings, networking, activities, and relationship building.

\n

We are looking for someone who understands that great events are built on great details .

\n

This isn't a position where success means simply getting everyone to the right hotel at the right time. Our members expect a highly personalized experience, thoughtful communication, proactive follow-up, and someone who knows the details before they have to ask.

\n

If you're the person who notices the incorrect name on a place card, remembers someone's spouse is attending, catches a change in a flight itinerary, and already has Plan B ready when the weather changes, you'll probably enjoy this job.

\n

What You'll Own\n

You'll have primary responsibility for planning and executing ACDI's Board and Shareholder Meetings from initial planning through post-meeting follow-up.

\n

Responsibilities include:

\n

\n
• Managing the complete event planning timeline from destination and venue planning through onsite execution and post-event follow-up
\n
• Coordinating hotels, meeting space, food and beverage, AV, transportation, activities, entertainment, and other event partners
\n
• Managing attendee registration and individual travel and accommodation details
\n
• Developing clear, timely, and personalized communications for members and their guests
\n
• Serving as the primary point of contact for attendee questions and special requests
\n
• Preparing agendas, itineraries, meeting materials, presentations, and supporting documentation
\n
• Coordinating executive, Board, Shareholder, and social functions within each event
\n
• Managing event budgets, invoices, vendor relationships, and post-event reconciliation
\n
• Maintaining accurate attendee information and event records
\n
• Supporting ACDI's meeting app and other event technology
\n
• Conducting post-meeting surveys and coordinating follow-up
\n
• Continuously improving processes and identifying ways to make the ACDI meeting experience better
\n

ACDI's own member onboarding materials emphasize registration, travel and lodging logistics, ground transportation, billing, the meeting app, spouse participation, and social/networking activities as parts of its Board meeting experience.

\n

The Person We're Looking For\n

Above everything else, you are exceptionally detail-oriented .

\n

You enjoy taking ownership of complicated projects and don't need someone checking behind you. You're comfortable juggling dozens of small details while keeping sight of the overall attendee experience.

\n

You're also someone who:

• Communicates exceptionally well, both verbally and in writing
\n
• Is warm, professional, responsive, and comfortable working directly with business owners and senior executives
\n
• Anticipates questions and problems instead of waiting for them to occur
\n
• Takes pride in getting the small things right
\n
• Remains calm when plans change
\n
• Is comfortable making decisions independently
\n
• Can manage multiple vendors and deadlines simultaneously
\n
• Understands that personalized service sometimes means doing something differently for one attendee
\n
• Enjoys hospitality and relationship building
\n
• Is technologically comfortable and proficient with Microsoft Outlook, Excel, Word, PowerPoint, and Teams
\n

\n

Experience planning executive meetings, association meetings, incentive programs, corporate retreats, or other high-touch events would be particularly valuable.

\n

Travel & Schedule\n

This isn't a traditional 9-to-5 position, and we think that's a benefit for the right person.

\n

The workload naturally ebbs and flows around our meeting calendar. Between major events, you'll have considerable flexibility in how you structure your workday. As meetings approach, however, we need someone willing to stretch when necessary to make sure everything gets done.

\n

The position requires a minimum of six week-long trips per year , with additional travel occasionally required.

\n

During meetings, early mornings, evenings, and weekend work should be expected.

\n

In return, we're intentional about providing flexibility during less demanding periods.

\n

Location\n

The position is primarily remote, but our preference is for someone located in Northern Virginia who can work from the ACDI office approximately one day per week .

\n

We believe the combination of remote flexibility and regular in-person interaction with the team provides the best of both worlds.

\n

Why This Role Is Different\n

You won't be planning hundreds of anonymous events every year.

\n

You'll be building relationships with a relatively consistent group of members and their families. Over time, you'll learn their preferences, anticipate what they need, and become someone they know and trust.

\n

That's a very different kind of event management.

\n

It requires organization and discipline, but equally important are hospitality, judgment, responsiveness, and genuine enjoyment of taking care of people .
