Client Services Associate - Mailroom

Client Services Associate Temporary position Job Title: Client Services Associate Reports To: Client Services Supervisor, Client Services Manager, or equivalent leadership. Job Overview The Client Services Associate provides office and mail services, delivering operational functions such as processing inbound/outbound mail, distributing and delivering mail, shipping and receiving product and supplies, replenishing office supplies, ensuring copy/print machines are functional, acting as backup for front office reception/concierge, and providing light maintenance and cleaning. Overall, this position continuously offers the highest level of service to all client and SPS employees while maintaining a professional image of the company through prompt, courteous, and efficient service. Duties and Responsibilities Provides 5‑star customer service to all employees via all forms of communication. Receives inbound mail/packages, sorts incoming mail, and records into chain‑of‑custody software. Manages outgoing mail/package transactions. Performs duties related to shipping and receiving materials. Notifies employees upon receipt of inbound deliveries. Distributes mail/packages to company personnel. Acts as point of contact for mail/package inquiries. Performs daily key operations on multifunction devices (ensuring functionality, replenishing toner/paper). Submits work orders for specific requests. Services and replenishes barista, pantry, conference, kitchen, or meeting areas. Sets up meeting and conference rooms as needed. Assists with building occupant moves within assigned facilities. Performs light maintenance and cleaning duties as assigned. Maintains Business Service Center area in a neat and orderly fashion. Monitors office supply levels and replenishes and orders accordingly. Assists with copy/print orders and monitors the equipment for satisfactory functionality. Proactively seeks additional work during downtime. Builds professional relationships with customers and teams. Maintains professionalism and composure when interacting with all employees. Trains backups and provides guidance on policies and procedures. Determines additional support needed for sensitive inquiries. Provides exceptional customer service to clients. Provides reception or concierge coverage as needed. Competencies Strong verbal and written communication skills. Excellent customer service skills. PC skills: MS Office Suite experience. Ability to handle multiple tasks simultaneously. Good organizational skills. Working knowledge of MFD equipment. Knowledge of shipping/receiving procedures and ability to comprehend instructions. Ability to work independently and complete projects. Ability to determine correct method and packing material and validate packing slips for accuracy. Qualifications and Education Requirements High School Diploma or equivalent required. At least 1 year of prior work experience preferred. Ability to work assigned hours as determined by manager. Excellent organizational and time‑management skills. Analytical abilities and aptitude in problem‑solving. Superb written and verbal communication skills. Current knowledge or ability to learn computer‑based systems required. Must maintain a professional appearance and attitude. Adhere to all policies and procedures. Physical Demands Approximately 50% of the time the position requires physical demands described below. Fine and/or gross motor skills to grasp, lift, and carry packages on a cart with a 60‑lb load capacity. Ability to walk, bend, kneel, stand, and/or sit for extended periods. Manual dexterity required for operating office machinery. Ability to lift or move 40 lbs or greater frequently. Travel None or negligible. Other Duties This description is not exhaustive and other duties may be assigned. Compensation The expected compensation is $18 per hour. Final offer will depend on skills and experience.
