The Work
The Logging Coordinator will assist in supporting the client's full range of lodging support. Responsibilities
Key Responsibilities
- Maintains FY course schedules for lodging purposes.
- Arranges lodging reservations for students and staff with contracted hotel facilities.
- Provides lodging confirmation information to students and course coordinators.
- Maintains lodging information on excel spreadsheet and updates accordingly.
- Quarterly analyzes spreadsheets to determine room nights per hotel.
- Notifies class coordinators, program managers, and COR of any student or hotel issues.
- Arranges shuttle service with hotels for students.
- Provides detailed lodging spreadsheets to program managers for invoice reconciliation.
- Provides procurement requests and/or funding documents to the budget unit for identified courses.
- When necessary, provides lodging briefing to students.
- Back-up the Travel Operations Specialist.
- Generate various reports related to lodging data.
- Updates the lodging standard operating procedures.
- Attend quarterly meetings with designated hotels.
- Ensures student records (lodging, travel and external training) are managed according to the records disposition schedule.
- Review suspense file and take appropriate action to correct discrepancies to ensure timely processing.
- Other duties as assigned.
Qualifications

- Must possess a high school diploma, associate's degree preferred, together with three years (3) of customer service and administrative experience.
- Must possess basic knowledge of and experience with office and administrative functions, practices and procedures.
- Knowledge of basic accounting skills is helpful.
- Experience in providing travel support or event planning services is preferred.
- Secret Clearance is required.
- Due to the nature of work at the client's site, U.S. Citizenship is required.
- Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.
Minimum Skills:
- Must be highly organized with attention to detail.
- Must possess excellent command of the English language.
- Thorough knowledge of Microsoft applications (MS Word, Excel)
- Strong oral and written communication skills required
- Ability to handle multiple tasks simultaneously
- Must be self-motivated and able to work well independently as well as on a multi-functional team.
- Ability to handle sensitive and confidential information appropriately

Reports to: Program Manager
Working Conditions
- Professional office environment, with the ability to work onsite in the main office.
- Must be physically and mentally able to perform duties extended periods of time.
- Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position.
- Must be able to establish a productive and professional workspace.
- Must be able to sit for long periods of time looking at computer screen.
- May be asked to work a flexible schedule which may include holidays.
- May be asked to travel for business or professional development purposes.
- May be asked to work hours outside of normal business hours.
