Clinical Care Coordinator

Position OverviewThe PI Clinical Care Coordinator supports the Personal Injury division by managing lien creation, documentation accuracy, and patient scheduling workflows. This role ensures liens are filed correctly and on time, supports legal and provider partners with documentation needs, and coordinates patient scheduling, paperwork, and testing workflows. The Coordinator plays a critical role in case activation, compliance, and operational readiness.Key ResponsibilitiesStrategic & Operational ResponsibilitiesCreate required liens for new cases and coordinate with Dar Liens to submit patient and county liensEnsure lien documents are completed accurately and submitted within required timelinesVerify case details, patient information, and provider data prior to filingConfirm lien acceptance/recording and update internal systems accordinglySubmit lien releases, amendments, or corrections as neededRelationship ManagementCoordinate with Case Managers to ensure lien filing aligns with case timelinesServe as an internal subjectmatter expert on lien requirements and documentation workflowsProvide updates, answer questions, and ensure clients and providers feel supportedService / Program SupportCoordinate appointments, followups, and schedules with patients and providersEnsure patients and providers feel informed, supported, and valued throughout their caseSend new case paperwork and testing materials to patients and upload to the platformReach out to new patients within 24 hours to schedule intake sessionsFollow up with patients to ensure paperwork is completed and uploadedReschedule patient appointments due to noshows or cancellationsEscalate nonresponsive patients to Case ManagersAdministrative & ReportingMaintain accurate lien data and documentation in the platformMaintain organized, auditready digital records of all lien filings and confirmationsInput patient information into testing platforms and send testing materialsMonitor completion of required patient testingUpload and track testing results in the platformComplete each encounter within 24 hours of provider completing notesCompliance & Quality AssuranceEnsure lien filings meet jurisdictional requirements and deadlinesMaintain accurate, compliant documentation for legal and billing purposesSupport subpoena responses and documentation retrieval as neededEnsure all scheduling and documentation workflows meet internal and external compliance standardsContinuous Improvement & Process OptimizationIdentify opportunities to streamline lien workflows and reduce manual effortRecommend improvements to scheduling, documentation, and case activation processesSupport development of SOPs, templates, and checklists for lien and scheduling workflowsTeam Leadership & DevelopmentSupport Case Managers with accurate, timely documentationProvide feedback on recurring issues, delays, or process gapsContribute to a culture of accuracy, responsiveness, and operational excellenceQualificationsRequired1+ years experience in personal injury operations, medical scheduling, or legal documentationStrong attention to detail and accuracy in documentationAbility to manage highvolume workflows and deadlinesStrong communication and customer service skillsAbility to coordinate across legal, clinical, and administrative teamsBilingual/Fluent in Spanish and English PreferredExperience with lien filing, county recording, or PI case workflowsFamiliarity with medicallegal documentation and subpoena processesExperience with scheduling platforms or case management systems
