Position Overview

Coastal Medical Staffing is seeking an experienced, polished, and proactive Clinical Office Manager for one of our clients in Pooler, GA.

Our client is a concierge medical practice focused on providing personalized, high-quality patient care in a professional, high-touch healthcare environment . They are looking for a strong operational leader who can oversee daily clinic operations, support the clinical team, and ensure an exceptional experience for every patient.

The Clinical Office Manager will serve as a central point of leadership for both staff and daily practice operations. This individual will help ensure schedules run smoothly, administrative and clinical workflows remain organized, and the office consistently maintains a welcoming and professional environment.

Working closely with senior leadership and the Medical Director, the Clinical Office Manager will bridge administrative operations with clinical standards while helping the practice operate efficiently and maintain a high standard of care.

Key Responsibilities
Team Leadership & Practice Operations

• Lead weekly team huddles and support effective internal communication.
• Maintain daily accountability for office operations and workflow.
• Foster a collaborative, supportive, and professional team environment.
• Help staff navigate day-to-day operational challenges with a calm, solution-oriented approach.
• Maintain and reinforce practice standards related to professionalism, conduct, dress code, and patient interactions.
• Assist with onboarding and training new team members on Standard Operating Procedures (SOPs).
• Work with management to continuously improve administrative processes and workflows.

Concierge Patient Experience & Scheduling

• Help ensure every stage of the patient experience reflects a premium, personalized level of service.
• Oversee provider schedules across locations to maximize efficiency, minimize patient wait times, and accommodate patient needs.
• Maintain an inviting, organized, immaculate, and highly professional clinic environment.
• Work collaboratively with clinical and administrative staff to ensure a seamless patient experience.

Clinical Support

• Manage inventory, documentation, and operational protocols related to medical supplies.
• Oversee chart preparation and workflow coordination to ensure providers have the information and materials needed prior to patient visits.
• Support clinical staff with operational needs while maintaining appropriate clinical and compliance standards.

EMR & Administrative Oversight

• Manage day-to-day EMR operations and troubleshooting.
• Assist with EMR training and development of EMR-related SOPs.
• Track and order administrative and clinical supplies while maintaining established inventory levels and adhering to operational budgets.
• Serve as a primary liaison between clinical staff and senior leadership regarding daily operational needs and updates.

Qualifications & Requirements

• 4+ years of experience in medical office management, practice operations, or a high-end/concierge healthcare environment.
• Experience with prescription processing and working with pharmacy partners.
• Strong leadership skills with demonstrated experience managing team dynamics and resolving workplace challenges professionally.
• Highly polished and professional demeanor with excellent verbal and written communication skills.
• Strong interpersonal skills and the ability to interact professionally with patients who expect a high level of personalized service.
• Proficiency with EMR systems, scheduling platforms, and modern office software.
• Strong organizational skills and the ability to manage multiple priorities in a fast-paced medical environment.
