Maintenance Projects Coordinator & Process Lead

Category/Area of Expertise: Facilities & Maintenance Job Requisition: 499472 Address: USA-NC-Salisbury-2110 Executive Drive Store Code: Maintenance Centers (2762337) This position's main purpose is to coordinate, manage, and facilitate various tasks within the Maintenance and Energy and/or other departments related to the Maintenance and Energy Capital program. This role also provides technical support to Energy Manager, aids in managing the project process, offers in‑house office management, and supports Project Managers and Maintenance Supervisors during maintenance projects as well as tracking all projects for each team. Additionally, this position assists the Maintenance/Brand Operations teams in planning, executing, and closing out each project. Responsibilities Manage many aspects surrounding maintenance projects such as project scopes, quotes, invoices, cut sheets, drawings, specifications approved by AUSA and Operations authorizations, SOPs, and close‑out documentation. These will require research and interpretation and the ability to relay this information accurately to allow the maintenance team to make necessary, informed decisions on critical, high‑value questions. Assist in the scheduling of Maintenance contractors for large Operations projects. Ensure that each project is completed timely and in sync with direction given from the Project Manager. Assist Project Manager in the compilation of all bid documents, including requests for proposals, bid forms, bid plans, special instructions, and schedules. A comprehensive, accurate, timely bid package minimizes the cost of the project and helps prevent change orders in the future. Issue purchase orders at the direction of the Operations/Asset Management/IMAC team and amend existing POs as necessary throughout the project, including closeout. Contracts and POs are typically input prior to work starting. Work closely with Operations team and Project Manager to help schedule redline meetings for review of scope of work and specifications, streamlining the project from beginning to end. Attend a variety of Energy and Maintenance projects meetings with AUSA support staff, contractors and consultants. Assist Project Managers and Associates with the project completion process, including the project closeout manuals and the project punch list completion sign‑off process. This includes all as‑built plans and the completion of all POs. Provide technical support to office management and field maintenance teams, coordinating various maintenance‑related items such as day‑to‑day issues, IT problems, and other items that may occur within the field team. Additional job duties may be assigned as needed to meet the needs of the business and support our values. Qualifications Associate degree required or equivalent experience. 5+ years of experience. Familiarity with maintenance vendors, special projects, scope of work, and costs. Strong project management skills. Proficient with Google, Advanced MS Office, Microsoft Word, Excel, Coupa, Service Channel, etc. Excellent and effective communication skills. Excellent critical thinking and problem‑solving skills. Highly organized. Highly flexible with strong multitasking and prioritization ability. Detail oriented. Able and willing to learn new software tools and applications. Collaborative and works well with others. Ability to travel up to 20% of the time. ME/NC/PA/SC Salary Range: $26.54 - $39.81 Actual compensation offered to a candidate may vary based on their unique qualifications and experience, internal equity, and market conditions.
