Office Assistant

Forsyth County (North Carolina)

Position Overview Forsyth County Cooperative Extension Department is seeking to hire an Office Assistant to perform a variety of administrative, technical, and customer service functions for the N.C. Cooperative Extension Forsyth County Center and the Soil & Water Conservation District office. This position plays a vital role in supporting the daily operations of the office by providing administrative assistance to the Director, Extension Agents, and staff members of the Forsyth County agricultural Extension team while ensuring excellent service to the public and community partners. Key Responsibilities Answer telephones, provide general information, and route calls and messages. Maintain records, reports, and filing; establish and maintain files, records, and contracts. Maintain office calendars and perform data entry. Prepare routine memoranda and letters, respond to requests for information. Process invoices, payments, orders, and reservations using various software and databases. Screen and direct clients and visitors; explain ready‑available information. Assemble and summarize specific information from files or other resources for the preparation of reports. Assist with building duties such as unlocking and locking the building, updating lobby TV advertisements, and ensuring signage is current. Manage room reservations per the Agricultural Building Room Reservation Policy. Serve as primary contact for events, using the Eventbrite system. Enter invoices and receipts into the financial system, log expenses, write receipts, compile bank deposits. Enter service vouchers and forward them for final approval. Maintain the front lobby in order and welcome the public. Assist all department members in preparation for educational programs, plant sales, and outreach program needs (sign‑in sheets, nametags, room reservations, packets, etc.). Attend professional development training at the direction of the Director or Administrative Assistant. Manage office calendars to ensure event information is accurate. Other tasks as required. Work Schedule Monday through Friday, 20 hours per week (approximately 4 hours per day). Schedule will be coordinated with the Director and Administrative Assistant. Qualifications High school diploma or GED. At least one year of office/clerical experience. Basic proficiency on computers and normal office equipment. Experience with database systems and accounts payables/receivables preferred. Effective communication with diverse clientele and ability to work in a dynamic team environment. Organizational skills and ability to multi‑task. Ability to develop, adapt, and produce resource materials. Ability to collaborate and network with all audiences. Ability to develop and maintain accurate reports. Proficiency with computers and office equipment. Ability to communicate effectively with the public and maintain working relationships with other employees. Requires lifting up to 10 lbs occasionally or sitting most of the time. An equivalent combination of education and experience may satisfy minimum qualification requirements. #J-18808-Ljbffr
