Stanford University’s Department of Medicine is seeking a Fellowship Coordinator to provide administrative and operational support to one or more subspecialty fellowships in the Educational Programs Office. Working under the Educational Programs Office’s Fellowship Program Manager, the Coordinator will administer, coordinate, and support the operations of the clinical fellowship program(s). Program coordination includes involvement in program events, recruitment of future fellows, evaluations, rotation schedules, finance, conferences, publicity, and other educational activities. Responsibilities Review and evaluate fellowship applications for completeness; compile recruitment information, distribute applications, and notify applicants of decisions for interview. Compile reports using residency software knowledge; enter rank order list, maintain residency matching, and resident wish list. Maintain confidential resident/fellowship files and monitor attendance records for all required educational activities, including conferences and didactic experiences. Track work hours, resident activities, and schedules; maintain, update, and distribute resident rotation, vacation, and leave schedules in electronic systems. Verify trainee status and activities as needed. Monitor and document the residency/clinical fellowship evaluation process. Communicate regularly with residents/fellows and faculty regarding daily activities such as conference and grand rounds announcements. Provide administrative support to the Program Director, including scheduling student meetings, preparing agendas, recording and maintaining meeting minutes, and developing reports. Assist in planning departmental annual events including recruitment, orientation, graduation, faculty retreats, and various meetings and program‑related events. Order office supplies, complete resident reimbursements, and perform other duties as assigned. Experience in graduate medical education and ACGME training program administration. Education & Experience (Required) Two‑year college degree and one year of relevant experience, or an equivalent combination of education and experience. Knowledge, Skills & Abilities (Required) Ability to work independently and coordinate multiple assignments with fluctuating priorities. Quick learner who can adapt easily to Stanford‑specific software and clinically related software. Proficient oral and written communication; ability to work with all levels of faculty and staff and handle diverse workload. Excellent customer service skills and adaptability to a changing work environment. Proficiency with Excel, Word, and other required applications. Ability to learn, understand, and apply ACGME or other subspecialty guidelines. Certifications & Licenses None. Physical Requirements Constantly perform desk‑based computer tasks.
