Part-Time Finance Manager

Reports To: Treasurer Works With: Executive Management, Office Manager, fundraising team, donation processing team, vendors, payroll contact, and committee leads Part-Time Finance Manager supports the Treasurer in managing ICW’s day-to-day financial administration, bookkeeping support, donation tracking, payment processing support, reporting, budget tracking, and financial documentation. This role helps ensure ICW maintains accurate, transparent, organized, and accountable financial processes consistent with nonprofit standards and Islamic values of amanah, honesty, stewardship, and trust . The Part-Time Finance Manager supports financial operations but does not independently approve expenses, sign checks, authorize payments, enter contracts, or make financial decisions unless specifically authorized under ICW policy. Key Responsibilities Bookkeeping and Financial Records Maintain organized financial records, receipts, invoices, deposits, reimbursements, and supporting documentation. Assist with bookkeeping entries and account coding. Support monthly reconciliation of bank accounts, donations, payments, and financial records. Maintain digital and physical finance files according to ICW procedures. Help ensure financial records are complete, accurate, and audit-ready. Donation and Revenue Support Support donation intake documentation and reconciliation. Coordinate with donation processing systems, fundraising teams, and office staff. Track donations, pledges, event revenue, and restricted funds as directed by the Treasurer. Support donor receipt documentation and reporting processes. Assist with Ramadan, Eid, fundraising, and campaign-related financial tracking. Accounts Payable and Expense Support Receive and organize vendor invoices, receipts, reimbursements, and payment requests. Verify supporting documentation before submitting items to the Treasurer for review. Track payment status and follow up on missing documentation. Coordinate with vendors regarding invoice questions as directed. Maintain separation between preparation, review, and approval functions. Reporting and Budget Support Prepare routine financial summaries for the Treasurer. Support monthly financial reporting, budget tracking, and committee expense tracking. Help identify missing receipts, unusual transactions, overdue invoices, or documentation gaps. Assist with preparing reports for Executive Management, Board review, fundraising updates, and annual planning as requested. Internal Controls and Compliance Support Follow ICW’s financial controls, approval workflows, reimbursement policies, donation handling procedures, and record retention practices. Maintain confidentiality of financial, donor, payroll, and vendor information. Support preparation for audits, tax filings, annual reports, or CPA requests. Escalate financial discrepancies, missing documentation, or control concerns to the Treasurer promptly. Formal accounting policies, tax filings, audit matters, financial controls, and nonprofit compliance matters should be reviewed by a qualified CPA or legal counsel. Required Qualifications Prior bookkeeping, accounting support, nonprofit finance, or financial administration experience. Strong attention to detail and accuracy. Ability to maintain confidentiality of donor, payroll, vendor, and financial information. Comfort using spreadsheets, email, accounting systems, donation platforms, and digital records. Strong organizational and follow-up skills. Ability to work respectfully with Treasurer, Executive Management, staff, vendors, and committee leads. Respect for Islamic values, masjid etiquette, and community trust. Preferred Qualifications Experience with nonprofit or masjid finance. Familiarity with donation platforms, pledge tracking, restricted funds, and fundraising event reconciliation. Experience with QuickBooks or similar accounting software. Familiarity with accounts payable, bank reconciliation, budgeting, and audit preparation. Bilingual ability, such as English with Arabic, Urdu, or another community language. Performance Expectations The Part-Time Finance Manager will be evaluated based on accuracy, confidentiality, timely reporting, organized financial documentation, proper follow-up on invoices and receipts, support to the Treasurer, adherence to approval processes, and preservation of community trust. #J-18808-Ljbffr
