Position Summary

The General Manager is the primary management partner to the Board of Directors and is responsible for the effective administration, financial oversight, maintenance, governance, and day-to-day operation of the assigned community. This is a full-time hybrid management role requiring a consistent onsite presence of at least three days per week, with the possibility of working onsite full time based on the community’s needs. The position may also manage a small portfolio of additional associations, depending on the size and service needs of the primary community.

Essential Duties and Responsibilities

Board Governance and Community Relations

• Serve as the primary point of contact and trusted advisor to the Board of Directors, committees, homeowners, and residents.
• Partner with the Board to establish community goals and implement strategic and operational plans.
• Prepare meeting agendas and board packets; attend meetings; coordinate minutes, action items, follow-up, and board correspondence.
• Advise the Board regarding governing documents, applicable Civil Code requirements, local ordinances, association policies, and relevant legislative updates.
• Coordinate elections and annual meetings and support fair, consistent enforcement of association rules and policies.
• Educate board members on their roles and responsibilities and address homeowner concerns, violations, and sensitive community matters professionally.

Operations and Onsite Leadership

• Direct the day-to-day operation of the community and maintain a visible, responsive onsite presence.
• Work onsite at least three days per week and up to five days per week, as required by the community and business needs.
• Conduct regular property inspections and coordinate special projects, job walks, maintenance planning, and emergency response.
• Assess the condition of common areas and amenities and provide written observations, recommendations, priorities, and follow-up to the Board.
• Supervise onsite personnel and coordinate support staff assignments, performance, scheduling, training, and accountability, as applicable.
• Direct and organize office operations, maintain association records, and ensure timely, professional service to residents and board members.
• Remain available for urgent or after-hours matters when needed.

Financial and Insurance Oversight

• Lead preparation of the annual operating and reserve budgets, including research, historical comparisons, projections, and written explanations of material changes.
• Review monthly financial statements, monitor budget performance and variances, and recommend adjustments and priorities to the Board.
• Coordinate with the Financial Manager and accounting teams regarding journal entries, invoice processing, check approvals, billing, collections, and financial reporting.
• Review invoices for accuracy, appropriate authorization, and correct budget coding.
• Monitor association income and payments related to amenities, access devices, and other association services.
• Coordinate insurance renewals and claims, review coverage in relation to the governing documents, and assist with chargebacks, legal matters, and litigation as directed.

Vendor Contracts and Projects

• Oversee vendors, contractors, consultants, and suppliers to ensure performance, responsiveness, contract compliance, and achievement of Board-established goals.
• Develop scopes of work and requests for proposal, coordinate competitive bids, analyze proposals, and present recommendations to the Board.
• Submit contracts for review and approval, coordinate execution, and monitor performance, deadlines, warranties, and closeout requirements.
• Work with committees, vendors, and contractors to resolve project or service issues and keep the Board informed of risks, options, and recommended next steps.
• Maintain productive relationships with legal counsel and other professional advisors within the authority and guidelines established by the Board.

Portfolio and Administrative Management

• May manage a small portfolio of additional associations based on the operational demands of the primary onsite community and the candidate’s experience.
• Maintain official association files, homeowner rosters, contracts, calendars, and other required records.
• Track internal and external deadlines and manage annual calendars, recurring requirements, and Board directives.
• Coordinate with company departments to ensure that client tasks and projects are completed accurately and on time.
• Manage association transitions, account setup, special projects, and other duties as assigned.

Requirements:

 

Knowledge Skills and Experience

• Five or more years of community association or property management experience.
• Experience managing a high-end community in the Irvine and/or Newport Beach area is preferred.
• Experience managing a large-scale, amenity-rich, or similarly complex community is preferred.
• Prior portfolio management experience and the ability to oversee a small portfolio in addition to the primary onsite assignment.
• Two or more years of supervisory experience, with demonstrated success motivating employees and building effective teams.
• Strong working knowledge of homeowner association operations, governing documents, budgeting, financial statements, reserve planning, contracts, vendor management, maintenance, and safety practices.
• Proven ability to manage multiple projects, competing priorities, deadlines, and follow-up with sound independent judgment.
• Strong analytical, problem-solving, conflict-resolution, organizational, and decision-making skills.
• Excellent written, verbal, presentation, and relationship-building skills, including confidence speaking in board meetings and group settings.
• Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

Education and Certification

• High school diploma or equivalent required; bachelor’s degree preferred.
• CMCA® certification required. Candidates actively pursuing the CMCA® at the time of hire must obtain it within one year of employment.
• AMS® designation preferred.

Schedule and Work Environment

• Full-time, Monday through Friday, with evening Board and committee meetings as needed.
• On-site presence is required a minimum of three days per week and may increase to full-time on-site based on community needs.
• The position may require on-call availability for urgent community matters.

Compensation

Up to $95,000 per year, depending on experience, qualifications, certification, portfolio responsibilities, and the onsite requirements of the assignment.

Language Skills:

The individual must have strong written communication skills, and the ability to communicate effectively with employees and clients at all levels of the organization, both verbally and in writing.
