Part-Time Transportation Assistant (AM/PM)

High school diploma or equivalent; Associate's degree preferred.

• Valid CDL with school bus certification (or ability to obtain).
• Experience in school transportation, logistics, or administrative support preferred.
• Proficient in Microsoft Office, Google Workspace, and transportation/timekeeping systems (e.g., TIMS, CalAmp, LINQ, Frontline, Travel Tracker).
• Strong organizational, communication, and interpersonal skills.

Reports to Assistant Director of Transportation or his/her designee.

Essential Functions

The Transportation Assistant supports the daily operations and compliance of the KCS Transportation Department. This position assists with routing, scheduling, reporting, and administrative tasks to ensure the safe and efficient transportation of students. The role requires strong organizational skills, attention to detail, and the ability to communicate effectively with drivers, staff, and vendors.

• Draft, update, and maintain bus driver route direction sheets; ensure legible copies are available on each bus for substitutes and assistants
• Assist drivers with computer-based time sheets and troubleshooting
• Support resolution of bus stop or routing issues
• Drive bus routes as needed, including during emergencies and as a substitute
• Assist with activity bus assignments and key pack preparation for trips
• Update and verify student ridership data in the TIMS system
• Compare route sheets with TIMS reports for accuracy
• Assist with required state transportation reports, including: ridership count, stop-arm violation count and mileage count
• Import driver hours from CalAmp to LINQ Timekeeper; manage email/time adjustment requests Kannapolis City Schools - Creating the Future
• Monitor and adjust driver leave time; verify weekly timesheets for accuracy
• Monitor Travel Tracker for approved field and athletic trip requests; assign buses accordingly
• Record trip mileage from tickets and track billing and incoming payments
• Prepare monthly yellow bus usage reports
• Process purchase orders, green sheets, and invoices related to transportation needs, including CDL renewals and DOT physicals
• Manage WEX fuel card assignment and collection of signed agreements and receipts
• Maintain DOT compliance documentation and assist with new driver training sessions
• Support driver recognition events and DOT compliance initiatives
• Provide backup coverage for communication with drivers during active transportation hours
• Perform other duties as assigned by the Assistant Director of Transportation or HR

Knowledge, Skills & Abilities

• School transportation operations, including routing, scheduling, and bus safety protocols
• Student transportation management systems (e.g., TIMS) and electronic timekeeping systems (e.g., LINQ Timekeeper, Frontline).
• State and federal regulations related to pupil transportation, CDL requirements, and DOT compliance
• Basic bookkeeping and recordkeeping practices related to transportation billing and mileage tracking
• School district purchasing procedures and documentation (e.g., POs, green sheets).

Skills in:

• Using transportation software and technology platforms, such as CalAmp, Travel Tracker, and Microsoft Office (Excel, Outlook, Word)
• Organizing and maintaining accurate records and schedules
• Communicating clearly and professionally with staff, drivers, school personnel, and vendors
• Troubleshooting issues related to routes, scheduling, and driver timekeeping
• Operating a school bus safely and in compliance with state licensing requirements

Ability to:

• Prioritize and manage multiple tasks in a fast-paced environment
• Maintain confidentiality of sensitive personnel and student information
• Analyze data and identify discrepancies in time records, route logs, and ridership reports
• Work collaboratively as part of a team and independently with minimal supervision

Physical Requirements

Must be able to sit and operate a vehicle for prolonged periods, often exceeding one hour at a time.

• Requires sufficient hand, arm, and upper-body strength to turn a large steering wheel, operate foot pedals, and manipulate other vehicle controls
• Must be able to enter and exit the bus multiple times daily, requiring the ability to climb and descend steps with or without assistance
• Occasionally required to lift or carry up to 50 lbs, such as assisting students, handling emergency equipment, or lifting the hood for inspections
• Frequent use of hands and arms to open and close bus doors, adjust mirrors, and secure students if necessary
• May be required to kneel, bend, or crouch when inspecting the bus, securing wheelchairs, or assisting student
• Must have adequate hearing to detect traffic sounds, alarms, or student concerns and communicate effectively with students, parents, and staff
• Must have 20/40 corrected vision (or as required by CDL regulations) with good peripheral vision, depth perception, and the ability to see and read road signs, bus mirrors, and student movements inside and outside the bus
• Requires the ability to respond quickly to potential hazards, student emergencies, or sudden changes in traffic conditions.

Additional Requirements

Must be 21 years of age OR 20 years old with 2 years of college completed; Register in the Federal Motor Carrier Safety Administration (FMCSA) Clearinghouse; Must hold a valid NC driver's license; Must be willing to complete all applicable training to obtain CDL with P/S endorsement if not already held; Pre-employment DOT Drug Test is required; Pre-employment background check is required; DMV driving record check is required; and Completion and passing of required DOT physical.
