As a Weekend Administrative Assistant, you will play a vital role in providing exceptional support to our patients, families, and staff, ensuring seamless communication and coordination of our daily operations.

About the Role:

As a Weekend Administrative Assistant, you will be responsible for providing administrative support to our facility on weekends. You will work closely with our Administrator to ensure efficient and effective administrative operations. Your attention to detail, organizational skills, and excellent communication skills will be essential in maintaining accurate records, managing multiple tasks, and providing exceptional customer service to our patients, families, and visitors.

Essential Job Functions:

• Demonstrate proficiency with Microsoft Excel and Word, and utilize these skills to maintain accurate records and reports.
• Utilize strong attention to detail and organizational skills to prioritize and manage multiple tasks, meet deadlines, and maintain a clean and organized workspace.
• Develop and maintain positive interpersonal relations with all levels of staff, families, and patients, projecting a professional image at all times.
• Act as a first point of contact for patients, families, and visitors, answering and directing phone calls, taking messages, and providing information and assistance as needed.
• Greet patients, families, and visitors, directing them to the correct destination, and maintain security awareness.
• Monitor visitor access, order office supplies, and coordinate scheduling of resident transportation for medical appointments.
• Work closely and directly under the Administrator to ensure efficient and effective administrative support.

Requirements:

• High school diploma or equivalent required, with knowledge of administrative and clerical procedures.
• Knowledge of computers and relevant software applications, including Microsoft Office Suite and Outlook.
• Strong verbal and written communication skills, with the ability to multi-task and prioritize tasks.
• Professional personal presentation, with the ability to maintain confidentiality and handle sensitive information.
• Ability to work independently and as part of a team, with a positive attitude and strong work ethic.
