Program Coordinator

Greater Baton Rouge Industry Alliance

The Greater Baton Rouge Industry Alliance (GBRIA) connects the leading industrial companies in the Baton Rouge and New Orleans regions to share best practices, strengthen workforce development, and advance safety and innovation. At GBRIA, we’re a small, collaborative team that makes a big impact. You’ll work directly with senior leaders from industry and gain meaningful experience managing projects, budgets, and events that support Louisiana’s industrial growth. As GBRIA’s Programs Coordinator for Workforce Development and Safety, you’ll play a key role in the daily operations of two of GBRIA's most visible, member‑facing program areas. This position is ideal for someone professional, highly organized, dependable, and who enjoys coordinating details. You will serve as the operational backbone for our signature recognition programs and educational initiatives, supporting committee volunteers and interacting with industry professionals while learning from experienced staff in a fast‑paced, collaborative environment. About the Role Key Responsibilities Safety & Workforce Development Awards Programs Manage the full annual cycle of GBRIA's long-running Safety Excellence Awards and Workforce Development (WFD) Awards using the OpenWater management platform. Build and manage online nomination forms, judging workflows, and assignment schedules for each cycle. Serve as the primary point of contact for nominees and judges, providing professional guidance and timely communication throughout the process. Track program timelines, document outcomes for board reporting, and coordinate banquet slide decks and presentation materials in partnership with other staff. Manage the full application, selection, and onboarding process for K-12 teacher participants each program year. Coordinate directly with member host facilities on schedules, logistics, and participant requirements (including apparel, safety gear, and dietary restrictions). Serve as the primary staff contact for educators from application through program completion, providing on‑site support and coordination on program days. Collect, compile, and analyze participant feedback and program outcome data for leadership review. Committee Administration & Member Engagement Provide administrative support to the Safety and Workforce Development committees and subcommittees to ensure smooth operations. Schedule meetings, prepare agendas, distribute meeting materials, and conduct member outreach or surveys as needed. Take accurate minutes and distribute action items in a timely manner following each meeting. Maintain up‑to‑date committee rosters and track member engagement across the organization. Coordinate GBRIA's contractor work‑hours data collection program, following up with participating organizations to ensure timely submission and maintaining accurate records for internal and member reporting. Operations & Team Collaboration Work closely with staff on shared projects and cross‑functional initiatives. Assist with updating and maintaining accurate member databases related to your program areas. Support GBRIA events as needed. Event production is a team effort, and all staff contribute. Take ownership of assigned program tasks, from planning to completion. Contribute to other organizational priorities as directed by the President and CEO or a staff lead. Required Skills and Qualifications Experience in an administrative, coordination, or operations support role where accuracy, follow‑through, and managing multiple moving pieces at once were part of the job. Strong organizational skills, attention to detail, and the ability to manage multiple deadlines and program cycles simultaneously. Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel). Clear, positive, and professional communication style (written, verbal, and in‑person). Ability to take direction and then self‑manage day‑to‑day workload and priorities. Team‑oriented mindset, a strong sense of follow‑through, and an eagerness to learn. Preferred Qualifications Internship, coursework, or experience in event coordination, program administration, or nonprofit management. Familiarity or comfort learning specialized online tools (e.g., awards management platforms, survey tools, member databases). Comfort in learning software tools such as Trello, LLMs, Zapier, and other tools designed to organize and streamline work processes. Interest in Louisiana’s industrial, petrochemical, or manufacturing sectors and the workforce development challenges they face.
