Client Services Administrator

Complete and submit vendor applications for prospective and new customers Coordinate with customers’ Accounts Payable departments to collect vendor setup documentation Send welcome communications with W-9s, ACH payment instructions, onboarding documentation, and account information Track onboarding progress and follow up for account activation Obtain and distribute Certificates of Insurance for new projects Coordinate waivers, endorsements, and other insurance documentation Resolve insurance-related compliance concerns with customers Maintain customer account documentation and records Add new contacts to Salesforce during onboarding Facilitate communication between customers, sales, and accounting Support special projects and administrative initiatives Respond to customer inquiries about onboarding, billing setup, insurance documentation, and account administration Build positive customer relationships through timely and accurate support Requirements 5+ years of administrative, customer service, client services, account coordination, or related experience Strong organizational and time-management skills Exceptional attention to detail and accuracy Excellent written and verbal communication skills Proficiency with Microsoft Office Suite, Google Workspace, Salesforce CRM, and Slack Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment Preferred: experience with vendor and customer onboarding processes Preferred: familiarity with Certificates of Insurance, insurance compliance, or contract administration Preferred: experience supporting outside sales teams Preferred: experience with CRM systems such as Salesforce Core Competencies Demonstrates expertise in customer onboarding processes, vendor application management, and insurance compliance documentation.
