Manage a high volume of phone calls, route calls appropriately, and respond to voicemails promptly. Schedule appointments and coordinate a busy, multi-doctor calendar efficiently. Prioritize urgent scheduling needs appropriately and help optimize daily clinic flow. Check clients and patients in and out while maintaining accurate information. Collect payments, process invoices, and review estimates with clients. Clearly communicate hospital policies, pricing, services, and next steps. Address client questions and concerns with empathy and elevate issues when appropriate. Confirm appointments and follow up with clients through calls, texts, and emails. Help clients schedule recommended services, preventive care, and rechecks. Maintain accurate follow-up lists and document client outreach in patient records. Keep the front desk and lobby clean, organized, and welcoming. Support teammates and help keep daily hospital operations running smoothly. What You’ll Bring Strong customer service skills and a passion for helping pets and their people. Warm, confident, and compassionate communication skills. The ability to manage a high volume of calls and multiple priorities while staying organized. Confidence handling sensitive or difficult conversations with empathy and professionalism. Comfort collecting payments, processing invoices, and discussing estimates with clients. Strong attention to detail and a commitment to accurate documentation. Problem-solving skills and a proactive, solutions-oriented mindset. The ability to explain basic services, hospital policies, preventive care needs, and next steps clearly. Familiarity with veterinary terminology and common appointment workflows is preferred. Experience with veterinary practice management software such as AVImark, Cornerstone, ezyVet, or IDEXX Neo is a plus. Willingness and ability to learn ezyVet.
