Fitness & Operations Program Manager Job Summary The Fitness & Operations Program Manager for Recreational Services manages and implements recreation and wellness programs and activities at the University. Most programs are provided at the University’s Beauchamp Recreation & Wellness Center (Beauchamp Center). Specific responsibilities include planning, developing, organizing, coordinating, implementing, and evaluating the University’s recreational fitness, wellness, and related programs and activities. Responsibilities also include duties related to management and support of the Beauchamp Center, including oversight of the Beauchamp Center front desk. This position provides key supervisory responsibilities and reports to the Director of Recreational Services. Core Duties Develop, implement, and manage recreational fitness and wellness programs that support student success, health, and well-being. Recruit, hire, train, supervise, and schedule student employees and part-time seasonal employees to staff the Beauchamp Center front desk, weight room, and fitness and wellness programs.Supervisory responsibilities include hiring processes, setting of expectations, training and professional development, timekeeping review and approvals, performance management and evaluations, and disciplinary processes including up to termination of employment. Manage staffing schedules to ensure operational success, filling in for front desk coverage when needed. Foster student leadership, professional development, mentorship, and workplace readiness. Develop, implement, document, and continuously improve operational procedures for facility access, customer service, equipment use, and front desk operations. Manage and enhance the user experience through effective customer service, facility presentation, accessibility, communications, signage, and operational efficiency. Collect, analyze, and report facility, program, participation, financial, and customer satisfaction data to support assessment, strategic planning, operational improvements, and resource allocation decisions. Prepare annual statistical comparison of data in areas such as facility and area usage, class attendance, program usage, operational hours, and student labor budget. Develop, implement, update, and enforce facility, operational, and program policies and procedures. Ensure compliance with university policies, risk management practices, safety standards, and applicable regulations in collaboration with the Director of Recreational Services. Manage policies and processes related to sales and membership programs for Beauchamp Recreation Center, including, but not limited to, locker rentals, alumni memberships, and guest passes. Oversee internal and external facility reservations, events, and special programs while collaborating with campus and community partners to support departmental and university initiatives. Duties include but are not limited policy development, planning meetings, and on-site coordination during events. Oversee preventive maintenance schedules, equipment inspections, service contracts, replacement planning, and inventory management for fitness equipment and operational assets; notify Director of Recreational Services of service and maintenance needs for exercise equipment. Maintain supply inventory for the Beauchamp Center’s front and back offices. Utilize digital, printed, and other relevant media, develop marketing plan for fitness and wellness programs, weight room, special events, and facility consistent with the department’s overall marketing plan. Evaluate effectiveness in reaching campus and off-campus communities. Assist with determining budget needs and administering budget allocations for fitness and wellness programs, weight room, front desk staffing, and departmental supplies; monitor expenditures and student employment labor in accordance with established procedures and budget parameters. Develop, implement, and assess marketing and communication strategies utilizing digital, print, social media, and other communication channels to promote programs, services, events, and facility usage. Manage software applications used for sales, membership, locker rental, equipment inventory, working in collaboration with University Information Services department. Perform custodial maintenance work when needed, including but not limited to setting up tables, sports equipment, chairs, and bleachers for classes and programs. Coordinate risk management and safety efforts for the fitness and operational areas of the recreation center, including staff training, emergency action procedures, incident reporting, facility inspections, working in collaboration with Director of Recreational Services, Campus Safety and Environmental Health & Safety. Assist with departmental planning, strategic initiatives, assessment efforts, budgeting, and long-range facility and program development. Other duties as relevant to the duties of the position or as assigned by supervisor or designee. Education & Experience Required: Bachelor’s degree in relevant field of study. Required: Two or more years of relevant professional experience, inclusive of supervisory responsibilties or student mentorship. Preferred: Master’s Degree in relevant field of study. Preferred: Professional experience in higher education fitness and wellness programming. Or a combination of equivalent education and/or experience. Certifications & Licenses Required: Current certification in CPR or ability to obtain certification within three months of hire. Preferred: Current instructor’s certification in one or more of the following areas – nutrition, CPR, indoor cycling, yoga, zumba, pilates, dance, or weight training. Knowledge, Skills & Abilities Ability to lead and motivate staff while fostering a positive and inclusive work environment. Ability to assess operational needs and implement process improvements. Ability to interpret, apply, and enforce policies, procedures, and safety standards consistently. Strong organizational and time management skills with an attention to detail and accuracy. Strong orientation towards taking initiative and ownership of projects and assignments and being proactive with projects, assignments, and process improvements; strong ability in following through with and completing projects. Ability to prioritize, multitask, be flexible with changing circumstances, and meet deadlines. Ability to communicate complex information clearly to a variety of audiences. Knowledge of fitness and wellness program administration and relevant best practices. Knowlege of risk management, emergency responsiveness, and accident prevention practices. Knowledge and skills related to budget management and expenditure monitoring with staffing and timekeeping oversight. Ability to anticipate problems and take necessary action to eliminate or mitigate them; knowledge of and experience in developing risk management policies and procedures in a recreational facility setting. Awareness and knowledge of adaptive recreation aimed at serving individuals who may need accommodations. Competence with and commitment to inclusive excellence; ability to be an effective partner with diverse students, faculty, and staff. Ability to establish effective working relationships, professional rapport, and effectively accomplish work within a University setting that includes a wide array of individuals, groups, policies, and processes. Effective ability to use and learn computers, technology, software, and applications at level of sophistication required for the duties of the position, including, without limitation, Microsoft Office (Outlook, Word, Excel, and PowerPoint), the internet, and computerized maintenance management systems. Physical Requirements Frequently: sit, perform desk-based computer tasks; use fine manipulation and grasp; use a telephone; write by hand; sort and file paperwork. Frequently: stand and walk; reach; twist; lift, carry, push, and pull objects that weigh up to 30 pounds, with or without assistance. As needed: ability to attend events and activities on or off campus. As needed: ability to teach classes (CPR, nutrition, fitness). Frequently: ability to interact and communicate with members of the University and others as necessary. Working Conditions Hours of employment: sometimes may require working flexible, irregular, and/or longer hours, including early mornings, evenings, nights, weekends, holidays, and overnight hours, when necessitated by projects or emergencies.
