State Aid Programs Specialist - BP Campus Job Title: State Aid Programs Specialist - BP Campus Reports To: Accountability Director Supports: State Aid Programs and Food Service Staff Status: Exempt Effective for the 2026-2027 School Year Position Summary: The Mission of Spero Academy is to provide individualized and adaptive education to help students grow academically, emotionally, and socially. We are a nonprofit charter school devoted to educational programs for students with disabilities that foster a sense of respect, responsibility, and community. We are seeking a qualified candidate who can assist with the compliance and operation of two state‑funded programs: the School Nutrition Program and Medicaid Billing for IEP services. Responsibilities Assisting with data collection and service documentation for Medicaid billing. Conducting daily food service operations, including meal counts, maintaining required meal service documentation, and ensuring food safety procedures are followed. Assisting with breakfast and lunch service to ensure all student meals are counted for reporting. Completing training on school meal requirements so each student receives a reimbursable meal. Completing daily documentation of breakfast and lunch service for state compliance. Completing training on food safety and sanitation procedures and ensuring protocols are followed during meal service and daily cleaning. Monitoring provider logs (OTs, SLPs, paraprofessionals/PCAs) in SpEd Forms to ensure billing is completed regularly. Assisting paraprofessionals with tracking/billing questions or issues. Training new paraprofessionals on Time Studies and tracking & logging PCA activities in SpEd Forms. Tracking the PCA/CFSS certification of new paraprofessionals to ensure certification before billing their services. Monitoring classroom staffing and student placement to ensure paraprofessional staff receive training from the case manager on the PCA needs of the students in their care. Helping document the training & observation of paraprofessionals by the case manager (or other qualified professionals). Coordinating 90‑day PCA observations and sending reminders to case managers. Qualifications Knowledge of Third Party Billing and IEP services. High proficiency in Gsuite, especially Google Sheets. Experience using SpEd Forms or other information systems to manage student data. CFPM (Certified Food Protection Manager) certification within 60 days of hiring. Background check with a statement of “not disqualified.” Ability to maintain confidentiality in accordance with local, state, and federal law. Food Service Experience. Ability to work independently and manage tasks and deadlines. Ability to work at a computer for extended periods. Ability to stand for up to an hour at a time. Ability to lift up to 50 pounds.
