Part-Time Office Assistant

SUMMARYThe Office Assistant performs various routine clerical duties to support operations of the department.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.• Operate office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.• Answer incoming calls; transfers callers and takes messages as needed.• Enter and update information in databases.• Maintain filing systems either manually or electronically.• Prepare forms, memos, letters, and reports according to written or verbal instructions.• Monitor inventory levels and orders supplies.• Open, sort and distribute incoming mail; process outgoing mail.• May manage calendars and schedules appointments.• May serve as the receptionist for the Plant office, greeting visitors and applicants.• Maintain designated work spaces in a clean, safe and timely manner in compliance with Plant THM/Safety policy.• Perform other job-related duties as assigned.SUPERVISORY RESPONSIBILITIESThis position has no supervisory responsibilities.QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Ability to write general reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.REASONING ABILITYAbility to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Abilities to interpret a variety of instructions furnished in written, verbal, diagram, or schedule form.PHYSICAL DEMANDSThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
