Job Title: Philanthropy Communications Coordinator II
Location: Remote anywhere in Bay Area only
Schedule: 20 hours/week Part-time Day 3x8-Hour (08:00 - 17:00)

Requirements:


3+ years of relevant administrative, communications, or project coordination experience
Experience managing project workflows from intake through completion
Experience coordinating schedules, logistics, reviews, approvals, and competing priorities
Strong stakeholder management across multiple teams and workstreams
Proficiency in Microsoft Office applications
Strong written and verbal English communication skills
Ability to take initiative, exercise independent judgment, and resolve coordination issues
Demonstrated digital proficiency and ability to quickly learn new tools and systems
Strong attention to detail, organization, and timeline management


Preferred Requirements:


Bachelor's degree in communications, business administration, healthcare administration, or a related field
Familiarity with Smartsheet
Experience supporting philanthropy or communications operations
Experience coordinating with clinical, marketing, and philanthropy stakeholders
Experience maintaining digital assets, version control, and document accessibility


Summary / Duties:
The Philanthropy Communications Coordinator II provides advanced administrative and operational support for philanthropy communications initiatives. This role serves as the central coordinator for project workflows, managing intake, prioritization, scheduling, logistics, reviews, approvals, and completion timelines. Responsibilities include maintaining visibility across workstreams, tracking progress in Smartsheet, identifying risks, resolving coordination issues, and ensuring teams use current materials. The coordinator prepares communications materials for distribution, maintains documentation and digital assets, supports version control, and consolidates stakeholder feedback. The position works closely with philanthropy staff, clinicians, and marketing partners, using independent judgment and strong organizational skills to keep projects moving efficiently and proactively. This position is scheduled for 20 hours per week.
