Assistant Office Manager
We're seeking a highly organized, proactive Assistant Office Manager to help keep our office running smoothly and efficiently. This is an excellent opportunity for someone who enjoys wearing multiple hatssupporting operations, coordinating projects, and contributing to a positive and professional workplace environment.
In this role, you'll work closely with leadership and play a key part in administration, operations, and client-facing support, while gaining exposure to areas like finance, HR, and marketing.
What You'll Do
Office Operations & Administrative Support
- Serve as the first point of contact by answering phones and welcoming visitors
- Help maintain a clean, organized, and professional office environment
- Manage incoming and outgoing mail, packages, and deliveries
- Coordinate meetings, events, team lunches, and office logistics
- Monitor and restock office, kitchen, and facility supplies
- Assist with general administrative tasks and special projects as needed
Marketing & Social Media Support
- Coordinate with an external marketing partner to keep content up to date
- Help organize team photos, project updates, and employee bios
- Assist in maintaining website and social media presence
- Support creation and distribution of marketing materials
Facilities & Vendor Coordination
- Work with vendors and service providers (IT, office equipment, utilities, etc.)
- Help manage office equipment, inventory, and maintenance needs
- Assist with purchasing and tracking supplies and services
Accounting & Business Support
- Support invoicing, accounts receivable, and data entry processes
- Assist with project setup and tracking in internal systems
- Help coordinate insurance documentation and compliance
Human Resources Support
- Assist with onboarding new team members and coordinating training
- Help maintain employee records and internal documentation
- Support benefits coordination and employee programs
- Contribute to maintaining a strong, positive workplace culture
What We're Looking For
Qualifications
- Bachelor's degree in business, finance, accounting, or a related field
- (Associate degree with relevant experience also considered)
- Experience or interest in administrative support, office operations, or coordination roles
- Proficiency with Microsoft Office (Outlook, Word, Excel) and general office software
- Familiarity with social media or website content updates is a plus

Pay and Benefits
The pay range for this position is $80000.00 - $80000.00/yr.
