Recruiting & Onboarding Coordinator

Position SummaryThe Recruiting & Onboarding Coordinator is a key member of our Human Resources team, responsible for owning the full-cycle recruitment process across all company locations and service lines. This role serves as the primary point of contact for hiring managers and candidates throughout the recruitment lifecycle, with a primary focus on sourcing and placing advanced practice providers (APPs), licensed therapists, and administrative staff. In addition to recruitment, this position coordinates and monitors new hire onboarding activities to ensure a smooth, compliant, and welcoming transition into the organization.Key ResponsibilitiesFull-Cycle RecruitmentManage end-to-end recruitment for all open positions across multiple states, including advanced practice providers (PMHNPs), licensed therapists (LCSWs, LPCs, LMFTs), associate clinicians (LPC-As, LMFT-As) and administrative/support staffPartner with hiring managers to establish ideal candidate profiles and set realistic hiring timelinesSource candidates through job boards (Indeed, LinkedIn, etc.), professional associations, school partnerships, and referral networksScreen resumes, conduct phone screens, and coordinate structured interview processes with clinical and operational leadershipManage candidate communications throughout the process, ensuring a positive and professional experience from first contact through offerExtend verbal and written offers; negotiate compensation within approved pay bandsTrack all open requisitions, candidate pipelines, and hiring metrics in the applicant tracking system (ATS)Develop and maintain provider-specific sourcing strategies to build a robust pipeline of licensed clinical talentOnboarding CoordinationServe as the central point of contact for new hire onboarding logistics, ensuring all pre-employment steps are initiated promptly upon offer acceptanceAssign onboarding tasks to new hires and relevant internal stakeholders (IT, credentialing, clinical supervisors, billing)Monitor task completion and proactively follow up with new hires and department leads to address outstanding items prior to the start dateCoordinate licensure verification, background checks, and credentialing documents for licensed clinical staffEnsure all required state-specific employment documentation is collected and properly filed in compliance with multi-state regulationsFacilitate new hire orientation scheduling and ensure completion of required training modules, compliance courses, and policy acknowledgmentsServe as a resource for new employees during their first 30-90 days, answering HR-related questions and connecting them with the right contactsContinuously evaluate and improve onboarding workflows to reduce time-to-productivity and improve new hire satisfactionCross-Functional Collaboration & ReportingCollaborate with credentialing, compliance, payroll, and clinical operations to ensure seamless transitions from candidate to employeeMaintain accurate records in the ATS and HRIS; generate regular recruiting and onboarding status reports for HR leadershipTrack key metrics including time-to-fill, offer acceptance rate, and onboarding completion ratesAssist with workforce planning by providing data-driven insights on hiring trends and pipeline healthCore CompetenciesOwnership Mindset - Takes initiative, follows through, and holds the recruiting and onboarding process from start to finishAttention to Detail - Accurately tracks candidate status, compliance documents, and onboarding task completionRelationship Building - Develops trust with hiring managers, candidates, and new hires through responsive, transparent communicationProblem Solving - Proactively identifies bottlenecks in the hiring or onboarding process and proposes practical solutionsAdaptability - Thrives in a fast-paced, growing organization where processes may evolve rapidlyHealthcare Awareness - Understands or quickly learns the compliance, credentialing, and regulatory landscape of multi-state behavioral healthcareWork Environment & Physical RequirementsPrimarily hybrid with occasional travel to company locations as neededProlonged periods of sitting and working at a computerMust have reliable internet access and a dedicated, distraction-free workspaceSome flexibility in work hours may be required to accommodate candidates or hiring managers across time zonesNote: This job description is intended to convey information essential to understanding the scope of the position and is not an exhaustive list of skills, efforts, duties, responsibilities, or working conditions associated with the role. Duties and responsibilities are subject to change based on organizational needs.QualificationsHigh School Diploma or GED; Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field (or equivalent combination of education and experience) preferredFull-cycle recruiting experience, preferably in a healthcare, behavioral health, or multi-site environmentDemonstrated experience recruiting licensed clinical providers (therapists, NPs, PAs, or similar) strongly preferredProficiency with applicant tracking systems (ATS) and HRIS platformsStrong organizational skills with the ability to manage multiple open requisitions and competing priorities simultaneouslyExcellent written and verbal communication skills; professional and empathetic interactions with candidates and new hiresAbility to exercise discretion and maintain confidentiality with sensitive employee informationComfortable working independently in a hybrid environment across multiple time zones #J-18808-Ljbffr MIND BODY OPTIMIZATION INC
