seeks a motivated and qualified Fiscal Specialist 2- Lead Cashier for the Student Financial Services department.

This position supports the college's mission by ensuring accurate, compliant, and timely fiscal operations related to student accounts, cash management, scholarships, and refunds. The role contributes to student access and success by maintaining financial integrity, supporting enrollment and retention efforts, and providing technical and fiscal support to students, staff, and campus partners.

What You'll Do

Student Accounts
  • Works with the Student Accounts Manager to analyze student accounts for accuracy.
  • Verifies tuition and fee charges based on enrollment, drops, withdrawals, and refund timelines.
  • Verifies residency status against student-selected Residency Data.• Verifies student group activity to ensure accurate charges and waivers.
  • Verifies waiver configurations are applied correctly.
  • Analyzes payment posting and sequencing and adjusts as needed.• Adds charges and waivers to student accounts as needed, including parking and library fines and athletic department waivers.• Identifies missing due dates and reverses and reposts transactions accordingly.
  • Post Financial Aid Adjustment charges and repayment offsets, and removes them upon resolution.
  • Post Financial Aid disbursements weekly to student accounts.
  • Monitors student accounts during Financial Aid disbursement for potential indicators of fraud.
  • Cross-references enrollment and disbursement data to detect potentially fraudulent activity.
  • Places service indicators on flagged accounts and escalates cases for further review.
  • Maintains documentation and audit logs related to fraud review activity.
Cashiering & Cash Management
  • Performs cashiering functions, including receiving and posting payments.
  • Processes incoming wire transactions to student accounts.
  • Processes Financial Aid repayments and removes related service indicators.
  • Opens and closes ctcLink cashier sessions for One-Stop staff at Lacey and Olympia campuses.
  • Directs and trains One-Stop cashiers on cash management procedures, including drawer reconciliation, system troubleshooting, and reporting.
  • Maintains spreadsheet records for payments received after 4:00 p.m.
  • Verifies, consolidates, and balances cash and credit card receipts; monitors cash, maintains cash flow records; and prepares daily bank deposits.
  • Reports cashier drawer discrepancies to the appropriate departments.
  • Determines when exceptions are required for the daily cashier session closure.
  • Safeguards funds within the assigned area of responsibility.
  • Oversees the maintenance, balancing, and replenishment of cashier change funds.
  • Comoutestuitionandfeesasneeded andooerates cashierinafunctionsinctclink.
Processing Student Refunds and Nelnet Payment Plans
  • Stages and processes batch refunds for Cybersource credit cards and Accounts Payable checks.
  • Pulls batch refund reports for Converge credit card refunds and processes transactions within the credit card system.
  • Applies refund offset charges for CCE programs, Nursing programs, and Converge refunds.
  • Processes BankMobile time-outs and reversals.
  • Processes Financial Aid batch refunds and transmits BankMobile refund files.
  • Oversees the Nelnet payment plan program and works with the vendor to resolve discrepancies or technical issues.
  • Processes Nelnet student refunds when required.
  • Cancels or adjusts Nelnet payment loans as necessary.
Scholarship Tracking, ACH payments, Drop List
  • Manages scholarship processing for internal and external awards, including tracking and posting.
  • Processes scholarship checks and prepares daily deposits.
  • Assigns scholarship student groups to prevent enrollment cancellations due to non-payment.
  • Communicates scholarship receipt status to students.
  • Maintains student files for scholarships and 529 plans.
  • Reconciles scholarship disbursements and supports quarterly audits.
  • Prepares A-19 forms and required documentation for fund return or transfer.
  • Accepts GET payments and processes ACH payments upon receipt.
  • Manages enrollment cancellation (drop list) timelines in coordination with campus partners.
  • Adds or removes NOCAN service indicators as appropriate.
  • Coordinates with Financial Aid and Enrollment staff to run drop lists throughout the quarter.
  • Pulls and edits past-due balance queries for service indicator placement on student accounts.
Other Duties
  • Provides backup cashier support at One-Stop locations as needed.
  • Serves as the Student Financial Services point of contact for housing charges and provides weekly balance and payment plan updates.
  • Manages student account communications, including itemized receipts and payment plan inquiries.
  • Sends weekly Nelnet reports to the Finance department.
  • Add institutional access so students can view financial information as needed.
  • Assists staff with service indicators and student group maintenance.
  • Develop and maintain the desk manual documenting applicable policies and procedures.
  • Assist the Student Accounts Manager with fiscal analysis, planning support, and revenue monitoring.
  • Evaluates fiscal record-keeping and reporting processes and recommends improvements.
  • Performs related duties as assigned.

Qualifications You Possess

Minimum Qualifications
  • High school graduation or equivalent AND eighteen months of fiscal-related work, such as a bank teller or retail sales clerk. OR Equivalent education/experience.
  • Ability to adapt quickly to changing business needs, conditions, and work responsibilities.
  • Strong organizational skills, ability to work independently and prioritize multiple tasks, maintain office confidentiality, and accommodate numerous interruptions.
  • Strong aptitude for attention to detail and accuracy of information.
  • Commitment to a working environment that values a diverse academic environment, inclusive of students, faculty, and staff of diverse cultural, socioeconomic, and educational backgrounds.
