You will be responsible for supporting service execution, office logistics, and facility coordination to ensure smooth day-to-day operations.You will work closely with service, sales, and external partners to manage quoting, scheduling, purchasing, and facility-related activities. This role plays a key part in maintaining an organized, responsive, and efficient office environment that supports both internal teams and customer needs.Main ResponsibilitiesServe as the primary coordination point for office operations and service support activitiesSupport service and sales teams through quoting, scheduling, and operational coordinationManage purchasing activities and vendor coordinationOversee shipping and receiving processes from the officeCoordinate calibration activities with customers and external partnersOrganize and track building maintenance and service schedulesKey ResponsibilitiesOFFICE OPERATIONSQuoting Support: Prepare and manage service and maintenance quotes in coordination with service and sales teamsScheduling: Coordinate calibration schedules and service activities with customers and external partnersPurchasing: Manage purchase orders, vendor coordination, and supply trackingShipping & Receiving: Oversee incoming and outgoing shipments, ensuring accuracy and timely processingService Coordination: Support service execution by aligning internal teams, schedules, and materialsFACILITY & ADMINISTRATIONBuilding Maintenance: Organize and track maintenance schedules, vendor visits, and facility needsVendor Management: Coordinate with service providers for building, calibration, and office support servicesOffice Organization: Maintain an efficient and organized office environment that supports daily operationsCROSS-FUNCTIONALAct as a key link between service, sales, and administrative functionsEnsure timely communication and follow-up across internal teams and external partnersSupport continuous improvement of operational processes and workflowsWhat Success Looks LikeService and calibration activities are scheduled and executed efficientlyQuotes and purchasing processes are accurate and completed on timeShipping and receiving operations run smoothly with minimal delaysBuilding maintenance and vendor activities are well organized and proactiveInternal teams feel supported and operations run without disruptionCore SkillsExperience in office operations, service coordination, or administrative supportStrong organizational and multitasking skillsAttention to detail in quoting, purchasing, and documentationAbility to manage schedules and coordinate across multiple prioritiesComfort working with vendors, service providers, and internal teamsCross-Functional SkillsStrong communication across service, sales, and administrative teamsAbility to coordinate activities across multiple stakeholdersProblem-solving mindset with a focus on efficiency and follow-throughAbility to balance daily operational tasks with longer-term planningPersonal TraitsHighly organized and detail-orientedProactive and reliable in managing responsibilitiesHands-on and responsive to operational needsCollaborative and team-orientedRequired Competencies & ToolsStrong verbal and written communication skillsExperience with Microsoft 365 tools including Outlook, Excel, and TeamsExperience with ERP or purchasing systems preferredFamiliarity with shipping and logistics processesExperienceMinimum of 3 years of experience in office operations, administrative coordination, or service supportExperience in a technical or industrial environment preferredEducationAssociate or Bachelor’s degree in Business, Operations, or related field preferred #J-18808-Ljbffr Sandvik
