Programs Assistant 17 days ago Requisition ID: 1019 Salary Range: $16.00 To $18.00 Hourly GENERAL PURPOSE OF THE JOB: The Programs Assistant works collaboratively with the Programs Manager to coordinate and execute C.O.P.S. Weekends and Camps, the C.O.P.S. National Police Survivors’ Conference, C.O.P.S. Kids/Teens & Day Care Programs, and the C.O.P.S. Surviving to Thriving Conference. ESSENTIAL DUTIES AND RESPONSIBILITIES: Assist with the coordination of several programs/events each year. Collect, organize, and maintain files and documents, both paper and electronic formats. Process registrations in the database, ensure records are accurate and up to date, and generate reports as needed. Update program/event informational documents. Assemble and mail/email program or event packets and paperwork. Communicate with survivors, counselors, mentors, volunteers, and donors as needed. Develop program and event agendas including the scheduling of activities. Prepare, organize, and pack supplies for each program/event. Travel to programs and events and assist with executing them as planned. Update information in database after programs/events have concluded. Organize and store supplies away after each program or event as concluded. Compile program or event evaluations and compose evaluation summaries. Shall receive a monthly cell phone stipend of $30.00 to offset the cost of using a personal device for minimal amount of work purposes, such as time management, two-factor authentication, communication between staff at events, or other uses as deemed necessary by supervisors. PERIPHERAL DUTIES: Occasional out-of-town travel to C.O.P.S. functions other than program/events. Assist other Departments on large group projects when needed. Other duties as assigned. SUPERVISORY RESPONSIBILITIES: None EDUCATION, EXPERIENCE, CERTIFICATES AND LICENSES: High school diploma required. A minimum of one year of event planning experience and two years of office experience is preferred. Proficiency in Microsoft Word, Excel, Google platforms, and Windows 10 is required. SKILLS Problem-Solving and Reasoning Ability: Ability to resolve problems promptly and effectively handle a variety of situations requiring organization and sound judgment. Ability to develop alternative solutions and work independently in situations where only limited instruction is provided. Language Skills: Strong written and verbal communication skills, including persuasive writing. Ability to communicate effectively in person and by phone while conveying an appropriate C.O.P.S. image to callers and visitors. Customer Service Skills: Ability to manage difficult or emotional situations, respond promptly to inquiries and the needs of others, respond appropriately to requests for service and assistance, and fulfill commitments. Mathematical Skills: Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals. Computer Literacy: General knowledge of computers and software, including word processing, spreadsheets, email, and databases.
