Our Accounting & Administrative Assistant will support our mission by supporting all accounting and financial-related activities. The Accounting & Administrative Assistant will work closely with all departments to ensure the accurate and timely distribution of financial and management reports. The ideal Accounting & Administrative Assistant will be detail-oriented, process-driven, and possess a high degree of accuracy.

Responsibilities

  • Process and upload customer and carrier invoices into accounting systems
  • Process checks, ACH payments, and other vendor disbursements
  • Apply and reconcile customer payments within accounting software
  • Post deposits and maintain accurate financial records
  • Research and resolve short pays, billing discrepancies, and payment issues
  • Communicate with customers and carriers regarding payment inquiries and account discrepancies
  • Reconcile accounts periodically and assist with month-end close processes
  • Review freight documentation to ensure accurate billing and payment processing
  • Follow internal control procedures to maintain financial accuracy and data integrity
  • Support accounting process improvements and workflow efficiencies
  • Provide administrative and financial support to leadership team as needed
  • Assist with additional accounting and operational duties as assigned

Requirements

  • 1-2 years of relevant experience preferred
  • Inherent customer service mindset and approach to all activities
  • Must be able to manage multiple competing priorities in a dynamic environment
  • Analytical skills including proficiency with Microsoft Office
  • Previous QuickBooks experience preferred
  • Bachelor's degree in business/accounting-related field preferred
