Our Accounting & Administrative Assistant will support our mission by supporting all accounting and financial-related activities. The Accounting & Administrative Assistant will work closely with all departments to ensure the accurate and timely distribution of financial and management reports. The ideal Accounting & Administrative Assistant will be detail-oriented, process-driven, and possess a high degree of accuracy.
Responsibilities
- Process and upload customer and carrier invoices into accounting systems
- Process checks, ACH payments, and other vendor disbursements
- Apply and reconcile customer payments within accounting software
- Post deposits and maintain accurate financial records
- Research and resolve short pays, billing discrepancies, and payment issues
- Communicate with customers and carriers regarding payment inquiries and account discrepancies
- Reconcile accounts periodically and assist with month-end close processes
- Review freight documentation to ensure accurate billing and payment processing
- Follow internal control procedures to maintain financial accuracy and data integrity
- Support accounting process improvements and workflow efficiencies
- Provide administrative and financial support to leadership team as needed
- Assist with additional accounting and operational duties as assigned
Requirements
- 1-2 years of relevant experience preferred
- Inherent customer service mindset and approach to all activities
- Must be able to manage multiple competing priorities in a dynamic environment
- Analytical skills including proficiency with Microsoft Office
- Previous QuickBooks experience preferred
- Bachelor's degree in business/accounting-related field preferred
