Warehouse Associate

The Warehouse Operations Associate plays a key role in ensuring all incoming materials for the pilot plant are accurately received, stocked, tracked, and stored in accordance with quality guidelines. This position supports the production team by preparing and kitting supplies for upcoming manufacturing runs, while maintaining a clean, organized, and easily navigable warehouse. You will work closely with cross-functional teams, use modern systems and tools to manage inventory, and help keep daily warehouse operations running smoothly and efficiently.

• Receive incoming GMP raw materials, components, consumables, spare parts, and supplies, following established QA processes to ensure compliance.
• Place all materials in the correct storage locations so inventory remains organized, easy to find, and aligned with ERP system requirements.
• Pick materials from the warehouse and deliver them to the manufacturing floor, increasing speed and accuracy as you become more familiar with the role.
• Reference the manufacturing calendar to stay aligned with upcoming production needs and adjust to unexpected tasks as they arise.
• Oversee the kitting process and ensure supplies are prepared and staged according to the Bill of Materials (BOM) for production runs.
• Perform consistent inventory checks and cycle counts to maintain accurate warehouse stock levels and support inventory control.
• Assist in receiving incoming shipments and put them away in accordance with ERP transactions and lot tracking procedures.
• Move, transport, and distribute approved GMP raw materials, supplies, and components throughout the facility as needed.
• Follow all rules for lot tracking, quarantine procedures, and quality holds, understanding that QA may place new items on hold for testing.
• Eventually assist with shipping small packages, including packaging items, printing labels, and preparing shipments such as samples.
• Navigate system challenges in the ERP and related tools, resolving errors that occur during material picking and inventory updates.
• Use a laptop and warehouse computer to access ERP, email, and other applications, and download approved communication tools on your phone to stay connected.
• Manage incoming requests via communication channels or email in a timely, organized manner, prioritizing tasks effectively.
• Communicate clearly and regularly with manufacturing, production, and quality teams to coordinate material needs and resolve issues.
• Maintain a clean, tidy, and well-organized warehouse environment, ensuring aisles, racks, and work areas remain safe and clutter-free.
• Stay calm and effective under pressure, taking ownership of tasks and helping the team navigate busy or chaotic periods.
• Work a day shift schedule starting at 8:00 AM and ending at approximately 4:30 PM, with occasional flexibility of up to an hour as needed.

• Minimum 6 months of experience in a warehouse or lab setting.
• Solid understanding of inventory management best practices and inventory control.
• Hands-on experience with ERP systems; familiarity with Microsoft Dynamics Business Central is strongly preferred.
• Forklift experience is required, including stand-up forklifts, sit-down forklifts, and a walking stacker.
• Valid California drivers license.
• Ability to use a computer comfortably, including ERP, email, Smart Sheets, and Microsoft Office.
• Strong attention to detail and accuracy when handling materials and data entry.
• Technological savvy with the ability to learn new systems and tools quickly.
• Effective cross-functional communication skills to collaborate with production and quality teams.
• Ability to stay calm and composed when things become busy or chaotic, taking responsibility and ownership of tasks.

• Experience with shipping and receiving processes, including packing, labeling, and preparing small package shipments.
• Background in warehouse inventory management, cycle counts, picking, packing, and material handling.
• Comfort using Microsoft Suite and other productivity tools to manage information and communication.
• Ability to navigate and troubleshoot basic system issues within ERP and related warehouse software.
• Willingness to learn and be trained on the specific ERP system used on site.
• Demonstrated kindness, positive attitude, and strong interpersonal skills when interacting with colleagues.
• Ownership mindset with a focus on reliability, accountability, and supporting team goals.
• Experience working in production or manufacturing environments is a plus.

You will join a small, close-knit team where your contributions are highly visible and you gain significant exposure to leadership. The organization is experiencing rapid growth and remains in an exciting early stage, offering meaningful opportunities to learn, take on responsibility, and grow your career. This environment values collaboration, kindness, and ownership, creating a supportive atmosphere for the right person to make a real impact.

This role is based in a warehouse environment supporting a pilot plant, working closely with two other team members. You will primarily work on-site during a day shift starting at 8:00 AM and ending around 4:30 PM, with occasional flexibility of up to an hour as operational needs require. The setting involves regular use of forklifts (stand-up, sit-down, and walking stacker), material handling equipment, and computers for ERP, email, Smart Sheets, and Microsoft Office. The warehouse is expected to remain clean, tidy, and well organized, with clear aisles and storage areas that support safe movement of materials. You will use both a laptop and a warehouse computer, and may access approved applications on your phone to stay connected with the team throughout the day. Because the team is small, the role carries a high level of responsibility and requires comfort working in a dynamic, fast-paced environment where priorities can shift quickly.
