The Opportunity

Ballantyne Jewelers, a third-generation, family-owned luxury jeweler, is seeking an exceptional  Client Experience Coordinator to join our team and play an integral role in delivering a distinguished luxury showroom experience.

As the first point of contact for our clientele, you will represent the professionalism, hospitality, and attention to detail that define the Ballantyne Jewelers brand.

We are looking for a polished, confident, and highly personable individual who takes pride in their professional presentation, communicates with ease, and possesses a natural ability to make every client feel welcomed and valued.

The ideal candidate combines the sophistication of luxury hospitality with exceptional organizational skills, sound judgment, and a proactive approach to service.

This position extends beyond traditional reception responsibilities. You will help coordinate the daily flow of our showroom, support our sales professionals, and ensure that every client interaction reflects our commitment to an exceptional experience.

Key Responsibilities

• Serve as the primary point of contact for clients, providing a warm, polished, and professional welcome.
• Create an exceptional first and lasting impression that reflects the standards of our luxury brand.
• Coordinate front-of-house activities to ensure an organized, seamless, and welcoming showroom experience.
• Manage incoming calls, appointment scheduling, and client correspondence with professionalism and discretion.
• Oversee jewelry and watch repair intake, service coordination, client notifications, and collections with accuracy and attention to detail.
• Collaborate with sales professionals to anticipate client needs and facilitate a seamless experience from arrival through departure.
• Maintain a pristine, organized, and visually impeccable showroom environment.
• Assist with client records, CRM systems, administrative functions, and daily operational activities.
• Provide direct support to leadership while demonstrating initiative, accountability, and sound judgment.
• Consistently uphold the highest standards of professionalism, confidentiality, and client service.

The Ideal Candidate

We are seeking an individual who understands that exceptional client service is defined by the smallest details. Someone who demonstrates confidence without arrogance, warmth without informality, and the ability to remain composed and attentive in a dynamic luxury environment.

Qualifications & Attributes

• Minimum of two years of experience in luxury retail, upscale hospitality, private clubs, luxury automotive, executive reception, client relations, or a comparable high-touch service environment.
• Impeccable professional presentation and a commitment to maintaining elevated luxury showroom standards.
• Exceptional verbal and written communication skills, with a confident, articulate, and personable demeanor.
• Natural hospitality instincts and the ability to build rapport with a diverse clientele.
• Strong emotional intelligence, discretion, and an intuitive understanding of client expectations.
• Outstanding organizational skills, meticulous attention to detail, and consistent follow-through.
• Ability to manage competing priorities with composure, efficiency, and sound judgment.
• A proactive, self-motivated approach with the ability to anticipate needs and take ownership of responsibilities.
• Proficiency with computers, scheduling platforms, point-of-sale systems, and client management software.
• Dependability, professionalism, and a genuine commitment to teamwork and service excellence.

Previous experience in fine jewelry is not required.  We place greater value on exceptional interpersonal skills, professional maturity, relevant service experience, and the ability to consistently represent our brand at the highest level.
