UNIT CLERK-ACU (Internal - Secondary position)

Unit Clerk - Hospital

Responsibilities include: greeting patients and visitors at the desk in a friendly courteous manner; coordinating nursing staff’s duties; assisting with admissions, transfers and discharges; entering orders into the Kardex; entering charges into the computer; ensuring charts are complete and up-to-date; ordering supplies for nursing area, dietary area and desk; answering phones and patient call lights; paging throughout hospital, and other administrative duties.

Job requirements include a high school diploma preferred, CNA and Unit Clerk Certification preferred, and N-95 mask fitting required. Experience in secretarial training, switchboard, medical terminology, nurse’s aide work, office machine operation preferred.

Skills must include a high degree of confidentiality in all matters with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Must have strong interpersonal skills with the ability to communicate with staff and public in a friendly, courteous and helpful manner. Must be able to interact effectively with a wide variety of people. Must be able to remain calm in highly stressful situations. Must possess excellent communication and listening skills. Must have the ability to multi-task. Must be able to maintain a high degree of accuracy under stress and complete monotonous detail work without error. Strong computer and keyboarding skills. Must be proficient in the use of Microsoft Office Suite products knowledge including Word, Excel and Outlook. Must have the ability to learn new computer software applications. Exceptional phone etiquette.

Essential functions include: unit duties such as greeting patients, visitors and staff in a courteous and professional manner; presenting a positive image, while directing patients, visitors and staff to appropriate areas; helping to enforce applicable visiting policies under direction RN/LPN; managing scheduled and emergency unit lockdown; answering patient intercom promptly and professionally; referring urgent requests to RN/LPN immediately; answering telephone efficiently and professionally; operating communication equipment at desk; activating Code Blue, Pink and White protocols; activating surgery and trauma cases as required; managing staff emergency response line; notifying individuals as directed over hospital intercom, pager system, or phone; communicating with other departments, as needed; acting as hospital-wide switchboard after 6 PM; performing registration duties after hours, and when PFS is not available; night unit clerks entering charges from the daily charge sheets into the computer; daily charges are checked against the nursing schedule; printing staffing for the incoming shift, and placing a copy in each nurse’s station; ordering equipment and supplies; keeping desk stocked with needed clerical supplies; ordering supplies for supply rooms; keeping inventory to desired levels; entering work orders in computer as needed; monitoring alarm systems at the nurses’ station; monitoring of Meaningful Use, Core Measure, HCAHPS and safety criteria and implementations as assigned by the director; managing and tracking discharge phone calls and chart abstracts; entering vital signs, intake and output, and diet intakes for CNAs or nurses, time permitting; promoting positive attitudes between nursing and other departments; maintaining a positive attitude toward co-workers, patients and visitors; notifying appropriate departments of maintenance alarms; admissions, transfers, discharges, orders, medical records and patient care such as coordinating admission of patients; completing proper admission documents; coordinating room assignments under the direction of the House Supervisor; adding patient to computer records and initiating labeled medical records on admission; entering orders into the Kardex; referring telephone, verbal and written orders to RN/LPN; updating diets for dietary services; requesting diet changes, snacks, and care partner or guest trays from dietary; informing CCU of telemetry orders and discontinued telemetry orders; coordinating discharge/transfer of patients; notifying pertinent departments of patient’s discharge, making follow up appointments as ordered, completing referrals, and preparing medical record for discharge; prior to patient discharge, notifying nurse of receipts for valuables, clothing or medications, which have been placed in lockup; notifying EVS to clean rooms after discharge; maintaining medical records in an orderly manner; obtaining past medical records under direction of RN/LPN or Provider; preparing medical records for transfer when necessary; transferring patient information to directed recipient; coordinating activities of nursing with other departments; notifying other departments of pertinent changes in status or physician orders; assisting with recording of patient information in medical record; notifying RN/LPN if information is missing.

Secondary functions include maintaining competency skills as directed by the Nurse Manager; participating in monthly staff meetings and committee assignments intended to improve patient care; regularly attending departmental and hospital meetings and educational in-services; performing other duties as assigned.
