Exam Room Assistant / LVMT Family Pet Hospital / Tiny Town Animal Clinic Overview The Exam Room Assistant assists veterinarians with patient care and treatment, monitors hospitalized pets, maintains inventory, prepares prescriptions, performs routine in‑house laboratory work, educates clients regarding veterinary care and procedures, and assists with surgical procedures. The role operates under the supervision of the Technician Team Leader and the practice manager. Primary Responsibilities Communicate with clients regarding the medical status of their pet and provide accurate information about fees, policies, and procedures. Instruct clients on pre‑visit preparations, post‑discharge care, and medication administration. Educate clients on preventive medicine and vaccinations; recommend laboratory procedures and provide educational materials. Demonstrate warmth, courtesy, and professionalism in all client and patient interactions. Restrain animals safely and compassionately during examinations and procedures. Follow established procedures to assist veterinarians, facilitate client flow, and consult with veterinarians daily on the day's activities. Review medical records and admission notes to determine needed tests or procedures. Greet clients, escort them and their pets into the exam room, and record basic patient information. Explain the reason for the visit, gather symptoms, and ensure all necessary procedures are covered using checklists and educational materials. Collect laboratory samples or coordinate sample collection, preparing any necessary equipment and anticipating required medications or vaccines. Notify the veterinarian when patients are ready for examination, provide pre‑exam information, and assist within the exam room by restraining the animal, preparing forms, and obtaining instruments. Ensure all procedures are documented correctly for billing and record‑keeping. Escort clients and pets to the front desk, hand over records for receipting, and prepare the exam room for the next visit. Prepare specimens for outside laboratories and retrieve results via phone or fax. Monitor laboratory supplies and order additional supplies as needed. Take, develop, and maintain radiographs following safety procedures. Perform routine suture removals, nail trims, weight checks, and apply bandages or splints under veterinary direction. Administer injections as directed (intravenous, intramuscular, subcutaneous). Promote practice products, programs, and services and make suggestions to clients about suitable products. Accurately dispense prescription medications, prepare labels, package medications, and ensure records and charges are complete. Follow DEA and OSHA guidelines and document controlled drug logs for any controlled substances used. Clean and straighten exam rooms, treatment, and lab areas; restock supplies and maintain public areas and equipment. Demonstrate initiative and teamwork, assisting other staff with daily duties. Organize the work area, exercise time‑management skills, and prioritize tasks to maintain efficiency. Collaborate with all team members to support the hospital, doctors, and practice philosophy. Perform other duties as assigned. Supervisory Relationships The practitioner team assigns tasks and provides guidance where needed. The Exam Room Assistant uses initiative to carry out recurring tasks independently but will seek direction when encountering unfamiliar situations or necessary decisions. Supervisory review increases with task difficulty. Administrative oversight is provided by the Technician Team Leader. Skills and Knowledge Knowledge of patient reception, treatment, scheduling, medical supply ordering, and laboratory test requests. Knowledge of proper animal restraint techniques. Ability to control and handle varying animal temperaments. Knowledge of handling, caring, and storing veterinary instruments and equipment. Knowledge of sterilization practices for instruments and materials. Knowledge of instruments, materials, and standardized procedures for a wide variety of treatments and “tableside” assistance. Knowledge of client service principles, needs assessment, quality standards, and satisfaction evaluation. Proficiency in English language structure, spelling, and composition rules. Ability to work independently and follow oral and written directions. Physical Effort Frequently bend, stand, stoop, walk, sit, talk, and listen, often in a bent position. Use hands to manipulate, handle, or feel; reach with hands and arms. Employ strength or agility to capture and restrain stronger animals. Frequently lift and/or move up to 50 pounds. Occasionally handle dogs weighing up to and over 150 lbs, with assistance from animal handlers for larger animals. Work Environment Exposure to aggressive patients and infected animals. Handling of controlled substances and related hazards. Exposure to unpleasant odors, noises, bites, scratches, and animal wastes. Potential exposure to contagious diseases.
