Departmental Overview The Helen Diller Institute for Jewish Law and Israel Studies (formerly Berkeley Institute for Jewish Law and Israel Studies) at Berkeley Law was launched in 2011 by a 15-member faculty committee drawn from the faculties of Economics, History, Jewish Studies, Music, Political Science, Sociology, and Law as well as Business. The Institute's two initiatives – one focused on Jewish law, thought, and identity; the other on the multidisciplinary study of Israel – serve undergraduates, graduate students and faculty by developing opportunities for research, programming, visiting scholars, colloquia and classes to strengthen academic inquiry and discourse across the Berkeley campus. The Institute was renamed in February 2021 following the award of a $10 million endowment gift from the Helen Diller Foundation. Within its two core programs – the Program on Israel Studies and the Program on Jewish Law, Thought, and Identity – the Helen Diller Institute has a primary mission of educating, engaging, and empowering students and fostering the next generation of student leaders. Position Summary The Events Specialist supports events planning and communication for the Helen Diller Institute team. This position works closely with the executive director, the marketing and communications specialist, and other staff to plan and execute events and ensure they are well marketed and publicized. Responsibilities Event Planning & Program Coordination In coordination with the Executive Director and other staff members, plans, organizes, implements, and publicizes virtual, hybrid, and in-person events of varying size and complexity, including lectures, symposia, conferences, colloquia, workshops, trainings, information sessions, and VIP briefings that support the mission of the Helen Diller Institute for Jewish Law and Israel Studies. Participates in the planning and execution of larger or more complex events, assuming responsibility for designated event components such as catering, transportation, registration, or onsite logistics. Assists with the development of new programs, resources, and engagement initiatives that advance the Institute's academic and student-focused mission. Performs other duties as assigned. Event Operations & Logistics Administers event logistics from inception through completion, including venue coordination, room reservations, participant registration, catering, parking and transportation. May assist with travel arrangements, travel and entertainment reimbursements, vendor payments, and event budgets, ensuring compliance with University and departmental policies and procedures. Coordinates A/V, media, and technical support for events, seminars, and programs, including collaboration with campus partners and external vendors to ensure successful event execution. Scouts and evaluates potential venues, vendors, and service providers for future programs and events. Oversees operational and administrative support for events, including supervising and directing student assistants, temporary staff, and volunteers involved in program and event activities. Communications, Marketing & Outreach Supports the development and implementation of event communications and marketing strategies to increase program visibility and engagement, including managing website content, calendars, listservs, registration platforms, Constant Contact communications, and event-related social media campaigns. Creates and coordinates promotional materials for Institute programs and events, including event flyers, digital advertisements, and branded communication; collaborates with external graphic designers and media vendors on paid advertising and outreach initiatives. Conducts outreach and maintains relationships with campus departments, faculty, invited speakers, alumni, community partners, and vendors to support programmatic and event objectives. Assists in maintaining communications calendars and project timelines. Data Management & Reporting Gathers, maintains, and analyzes program participation and engagement data; updates alumni and stakeholder databases and prepares reports, analytics, and communications metrics to support program assessment and strategic planning. Tracks event registration and attendance numbers. Prepares event surveys and gathers survey data; may also supervise or direct student workers in this work. Coordinates post-production and publication of event recordings, including but not limited to managing recording transactions for ADA compliance; supports podcast audio, transcripts, and uploads. Required Qualifications Working knowledge of concepts, principles and practices of event planning and production and public relations. Working knowledge of and/or ability to learn the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure. Solid organizational skills with demonstrated ability to prioritize and coordinate several projects simultaneously with demanding timeframes. Highly effective written and oral communication and interpersonal skills to successfully interact with diverse constituents and present information in a manner that is appropriate for the needs of the audience. Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues / problems that need to be brought to the attention of higher level staff and / or management. Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators and performing artists. Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service support. Working knowledge of events communication skills and software for website, digital, and print media. Experience using event registration, email marketing, and digital communications platforms such as RSVPify, Eventbrite, Constant Contact, Google Registration, Zoom webinar or similar systems preferred. Good computer skills, including proficiency with Microsoft Office, Google Suite, and video/audio conferencing platforms. Must be familiar and comfortable using Zoom. Detail-oriented and able to work rapidly and accurately under deadline pressure in an interrupt-driven environment. Excellent analytical skills, with the ability to think creatively to solve problems and develop solutions. Familiarity with social media platforms, website content management systems, and basic analytics/reporting tools. Ability to work occasional evenings, weekends and early mornings to prepare for and attend events. Ability to be a self-starter, to take initiative and work independently as well as on a team. Ability to use discretion and maintain confidentiality at all times. Demonstrated ability to collaborate and work effectively with individuals and groups from a wide range of backgrounds, experiences, and perspectives. Must demonstrate strong interpersonal skills, including the ability to engage with and understand individuals from varied academic, socioeconomic, cultural, disability, gender, and ethnic backgrounds. Preferred Qualifications Demonstrated experience managing and planning events and outreach, including developing budgets, communication strategies, generating reports, tracking data and maintaining databases. Interest in or familiarity with Jewish studies, Israel studies, legal studies, public programming, or interdisciplinary academic initiatives. Education / Training Bachelor's degree in related area and / or equivalent experience / training. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The budgeted hourly range that the University reasonably expects to pay for this position is $32.85 - $38.00. This is a non-exempt, bi-weekly paid position.
