Inventory Assistant

Purpose: This position is part of the College of Education’s Information Technology Office and supports the accurate management, tracking, and reporting of instructional and administrative technology equipment across the George I. Sánchez Building (SZB), Theo Bellmont Hall (BEL), and Gregory Gymnasium (GRE). The Inventory Assistant assists with maintenance of records for devices owned by the college, such as laptops, monitors, iPads, and other technology assets. The assistant coordinates tagging, scanning, and physical verification of equipment, and utilizes university systems such as FRMS and DEFINE to update and maintain inventory records. The role leads the annual inventory certification process and ensures compliance with University of Texas inventory policies, providing support to departments in collaboration with IT support staff and guiding a student inventory assistant under the Service Desk Manager. Responsibilities Perform inventory-related tasks including equipment tagging, tracking, and reporting for IT assets. Maintain regular communication with UT Inventory, including sending emails with supporting documentation and ensuring timely updates related to inventory certification and compliance processes. Collaborate with desktop support staff and departmental representatives to maintain inventory accuracy. Update records using University systems (FRMS, DEFINE); training provided. Participate in the annual inventory certification process in coordination with UT Inventory. Conduct physical audits and sight inventories across SZB and Theo Bellmont Hall. Communicate effectively with faculty and staff regarding inventory procedures. Support the Service Desk Manager and may assist with coordination of student inventory workers. Required Qualifications Bachelor’s degree preferred; Associate’s degree with relevant experience considered. Minimum of one year of experience in inventory management, asset tracking, IT support, or a related field. Ability to maintain accurate documentation, identify errors or discrepancies, and correct inventory records to ensure data integrity. Ability to manage inventory documentation, reporting, and ongoing tasks while suggesting process improvements. Professional communication skills using Microsoft Teams, Planner, and Outlook for coordination and updates. Ability to coordinate effectively with ITO’s Desktop Support specialists and the Facilities team. Physical ability to lift up to 50 pounds and walk between buildings on campus. Preferred Qualifications Experience in inventory management, asset tracking, or related administrative operations; training can be provided for university-specific systems. Experience with asset tracking, tagging, scanning, and physical verification of technology assets. Experience with FRMS (Financial Resource Management System) for inventory tracking and certification. Experience navigating DEFINE (Departmental Financial Information Network) for asset record maintenance and reporting. Salary $45,000 Working Conditions Use of manual dexterity. Repetitive use of a keyboard at a workstation. Pushing, pulling, and moving up to 50 pounds. Typical office environment. Retirement Plan Eligibility The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
