The Medical Assistant/Patient Access Specialist provides both clinical and administrative support to clinicians, patients, and the healthcare team to ensure efficient, high-quality patient care and exceptional customer service. This role serves as a primary point of contact for patients by greeting and checking in patients, answering and directing incoming telephone calls, scheduling appointments in accordance with clinic protocols, verifying insurance coverage, collecting copayments and outstanding balances, and communicating patient feedback to management. The position also performs clinical duties within the authorized scope of practice, requiring strong observational, clinical, critical thinking, communication, problem-solving, and decision-making skills to meet patient needs and contribute to a positive patient experience. The role works under the clinical supervision of the Clinic Manager.
- Escort patients to examination rooms, obtain vital signs, and review and reconcile pertinent patient information and history in preparation for an appointment with the provider.
- Cross trained in the front desk role to help with check in, scheduling, rescheduling or patients and covering break for both Clinical and Non-Clinical team
- Assists provider during examinations, procedures, treatments, and minor office surgeries.
- Administer diagnostic tests and provider-approved procedures, such as immunizations and others, as assigned.
- Successfully collaborate and work in support of the team to ensure efficient and quality patient care.
- Clean and stock exam rooms to include procedure tables, equipment, and other work areas following current infection control and/or isolation procedure guidelines. Review shot schedule the day prior to confirm patients are due for vaccines or there are orders in chart. Review each patient chart and request orders, as needed (see policy for "Shot only" visits for further details).
- Performs CLIA waived lab procedures.
- Provides limited education and coaching for patients within scope, including discharge information, and responding to follow-up questions-instructs patients about prescribed medications and dosing.
- Responds directly (in person) & indirectly (via phone or online) to patient questions requiring simple to complex clinical knowledge & skills.
- Collect and prepare laboratory specimens. Complete screenings and collect and review patient data per protocol. Follows up on test results as directed by healthcare Providers. Documents specimens collected and result in the electronic medical record (EMR).
Job Requirements:
Education: Minimum: High school diploma or equivalent
Experience: Minimum: One (1) year experience as a Medical Assistant and Three (3) years of experience in an office environment or related customer service field
Licenses & Certifications: Minimum: CCMA, CMA, RMA, or NCMA or Medical Assistants without certification at time of hire must pass certification exam within their first 90 days of employment. Must have active CPR/BLS certification or obtain within first 90-days of employment.
Immunizations are a requirement for employment to help ensure a safe and healthy workplace by reducing the risk of communicable diseases. TCC requires proof of vaccination including MMR, Hepatitis B, Tdap, Varicella, Influenza, and TB Screening.

Work Environment/Physical Requirements:
- Environmentally controlled medical office environment
- Fast-paced setting with occasional high-pressure or emergent situations
- Handling specimens of blood or body fluids, including secretions and excretions.
- Exposure to various chemical agents typically used in a clinical setting.
- Must be able to stand, stoop, walk, bend, and kneel for prolonged periods.
- Work closely with others in a team setting.
- Work hours subject to office needs to ensure coverage during all hours of operation
