Executive Administrative Support As required by our governmental client, this position requires being a US Citizen AND an active Secret clearance with TS SCI eligibility. The Executive Administrative Support person will provide a variety of complex and routine administrative duties to support the US Space Force with minimal or no supervision and in compliance with written and oral guidance and policies, execute independent decisions within established guidelines and perform a full range of administrative services and executive assistance support. Compensation & Benefits: Estimated Starting Salary for Administrative Assistance Support: $110,000 Pay commensurate with experience. Full time benefits include Medical, Dental, Vision, 401K, and other possible benefits as provided. Benefits are subject to change with or without notice. Administrative Assistance Support Responsibilities Include: * Independent Judgment and Executive Level Autonomy: Capacity to operate with minimal oversight, exercise sound judgment, and act as a trusted extension of the senior executive. * Ability to Navigate Executive Level Complexity: Skill in managing competing priorities, ambiguous guidance, incomplete information, and high stakes decisions in a dynamic environment. * Mastery of Mission, Authorities, and Organizational Structure: Deep understanding of Space Force missions, authorities, organizational relationships, and SF/S4 roles to accurately translate executive intent into action. * Expertise in DoD, Joint, and Space Force Policy & Workflow Systems: Ability to interpret, apply, and adapt directives, policies, and workflow/task management systems — especially when guidance is ambiguous or incomplete. * Strategic Communication and Executive Representation: Ability to communicate clearly and persuasively — verbally and in writing — to senior leaders, staff, and external partners, representing the executive’s intent with precision. * Coordinate executive communications, including taking calls, responding to emails, and interfacing with external organizations. * High Impact Planning, Analysis, and Operational Integration: Ability to analyze, plan, and adjust operations across organizational segments to meet program objectives within resource constraints. * Rapid Decision Making and Coordination Under Pressure: Skill in coordinating diverse planning efforts and selecting sound courses of action in fast paced, high pressure environments. * Production of Executive Ready Information and Materials: Ability to prepare and deliver high quality briefings, reports, and decision support products tailored to senior leadership. * Influence, Persuasion, and Purposeful Stakeholder Engagement: Ability to motivate, advise, coordinate, and influence stakeholders to advance executive priorities and convey decisions effectively. * Broad, High Level Internal and External Engagement: Experience engaging with commanders, directors, OSD, Joint Staff, and external agencies to support mission execution and executive objectives.
- Prepare and review internal and external documents.
- Maintain an organized filing system of paper and electronic documents.
- Populate and publish SharePoint updates.
- On-boarding/Off-boarding members - Update rosters/checklists,
- Schedule meetings and appointments/ invite appropriate attendees.
- Maintain and manage calendar of activities, meetings, and events.
- Coordinate with other executive staffs to develop meeting/travel agendas (if
- Coordinate with enterprise entities to codify travel plans for leadership.
- Manage travel itineraries/agendas for leadership.
- Create authorizations for leadership in Defense Travel System (DTS) IAW the
- Prepare and validate Trip Books for Senior Leaders Travel.
- Manage the directorate’s assigned tasking’s using the Enterprise task
- Create Taskers for office.
- Maintain assigned files and record systems in accordance to approved
- Associate degree.
- Minimum of five (5) years’ of experience working within the DoD performing
- Candidates must be US Citizens.
- Candidates must hold an active SECRET clearance and be TS SCI eligible.
- Candidates will be subject to a US Federal Government background
- High familiarity in Defense Travel System (DTS).
- High familiarity with the Task Management Tool (TMT).
- Advanced skills in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel,
- Knowledge/skills with MS Teams, Webex, Zoom.
- Ability to identify and resolve challenges at a strategic level, time
- Excellent and advanced organizational, interpersonal and judgment skills.
