Responsibilities Providing exceptional customer service in person and over the phone. Keeping customers informed throughout their repair. Handling light accounts receivable. Performing administrative duties and assisting with the shop's day-to-day operations. Receptionist duties and light bookkeeping/accounting work. Welcoming visitors by greeting them. Answering questions and referring customers to the appropriate person. Scheduling customer appointments. Determining customer needs in a calm and professional manner. Inputting customer information into computer software efficiently and accurately. Answering incoming phone calls promptly and politely, clearly determining the purpose of the call, and answering or forwarding all customer questions and concerns. Making outbound calls to update customers about repair status and call insurance companies to follow up on status and payments. Consistently checking, sorting, and forwarding e-mails. Maintaining a safe and clean reception area. Creating and managing both digital and hard copy filing systems for all insurance partners. Performing other clerical work such as filing, photocopying, transcribing, faxing. Taking memos, maintaining files, organizing documents. Accounting duties including accounts receivables and entering customer payments. Managing inventory of office supplies and reordering when necessary. Providing administrative support to the collision consultants and accountant. Qualifications & Requirements Must be at least 18 years of age. Ability to perform in a fast-paced, sometimes stressful, and high-volume environment. Proficiency in Microsoft Office Suite. Professional attitude and appearance. Trustworthy, high degree of integrity. Excellent written and verbal communication skills. Ability to be resourceful and proactive when issues arise. Ability to remain calm under pressure. Excellent organizational skills. Multitasking and time-management skills, with the ability to prioritize tasks. Excellent customer service attitude.
