Medical Secretary - Physical Medicine and Rehabilitation

Answer incoming calls and relay messages Respond to patient and staff inquiries Schedule clinical appointments, laboratory tests, consultations, and examinations Communicate with referring physician offices Respond to faxes and distribute incoming mail to physicians Provide general administrative support Coordinate medical records and clinical and administrative documents Communicate preparation information to patients Coordinate with departments to ensure physician coverage for specialty procedures Maintain the physician’s calendar and schedule meetings Schedule physician-authorized tests and obtain insurance pre-certifications Prepare paperwork for patients on behalf of the physician Anticipate patient needs and solve patient problems Build and maintain patient charts, records, and confidential medical files Pull and prepare patient charts for clinical appointments Monitor and order office supplies Perform other related duties and assigned special projects Travel to other clinical facilities when required to accommodate staffing levels Requirements High School diploma; two or more years of experience in a health care environment; or equivalent combination of education and experience Knowledge of ICD-9/ICD-10 and CPT coding Knowledge of medical terminology Customer/patient service experience Organizational and problem solving skills Ability to manage multiple priorities Ability to convey information both in writing and verbally High level of interpersonal skills to handle sensitive and confidential situations Demonstrated poise, tact and diplomacy Knowledge of MS Word, Excel, Access, and PowerPoint Attention to detail in composing, typing, and proofing materials Ability to establish priorities and meet deadlines Ability to perform functions using job-related software and systems Travel may be required to accommodate staffing levels at other clinical facilities Core Competencies Demonstrates expertise in patient scheduling, medical record management, and effective communication within a healthcare environment.
